Location: US-NY-New York Overview Maintain an extensive floor presence while acting as the point of contact providing high level hospitality and customer services to our client, client guests and vendors, greeting customers and visitors with a high degree of professionalism and courtesy. Also provide an integrated VIP experience-providing a unique mix of guest services, office services and an elevated workplace experience focused on driving results. Responsibilities Service Excellence : Ensure everyone has what they need. Own the floor, report issues to appropriate operations teams and follow up. Ensure legal and business professionals have appropriate space, connectivity and supplies. Ensure all systems (printer, network, cooling, lighting) are working. Manage all service requests with closed‑loop approach. Greet visitors and provide office services information, key general office info. Anticipate needs and proactively elevate end‑user experience. Core Functionality : Utilize Canon devices, office center tools, workstations, and applications to complete service requests. Operate advanced features of print properties menu (Adobe Acrobat, Excel, Outlook, Word). Complete jobs per individual preferences. Answer emails and phone calls professionally. Operate PS Ship in Outlook for FedEx shipping. Create white labels, envelopes. Manage time, answer emails promptly, bind documents, supply demand for floor. Solve minor hardware issues. Input all requests/task completions in accountability software. Events and Special Projects : Support assigned floor as needed. Provide operational expertise and consultation for events, routing requests, supplies. The Approach : Provide exceptional VIP workplace service. Manage work efficiently, prioritize, delegate. Customer Service : Ensure total customer satisfaction, proactive problem identification/resolution, build relationships. Work with facilities, catering, vendors as needed. Mail/Packages/Pouches : Receive, sort, deliver incoming mail & packages to assigned floors within established times. Log outgoing and incoming items, review accuracy. Supplies/Copying/Administration : Organize and distribute supplies according to requests. Monitor inventory, stock paper, toner. Handle distribution. Estimate runtime for photocopy jobs, inspect quality, produce bound copies. Minor maintenance: paper jams, service calls, cleaning. Prepare weekly production/volume reports. Provide other administrative services (copying, faxing). Set up and maintain visiting attorneys’ offices. Learn new features of equipment. Train end users on new features. Qualifications High school Diploma or equivalent 2+ years experience working in a mailroom and/or professional office environment. Prior hospitality experience (managing office inventory, conference room set up, event assistance, etc.) Ability to provide a high level of exceptional customer service to our clients and customers. Strong attention to detail and a high level of initiative to fulfill business needs up to expectation. Print, copy and binding experience is a plus. Thorough knowledge of all metering, weighing, logging, and other shipping procedures. Proficient computer skills (MS Office, etc.). Ability to perform complex functions of various equipment and systems (fax, scanner, metering, stamping, tracking systems), excellent customer service, professional attitude and appearance. Physical Demands / Working Conditions / Mental Qualifications Requires twisting/turning/squatting/bending/reaching/lifting and prolonged periods of sitting, standing or walking. May regularly lift and carry up to 20 lbs. and move (push mail cart) over 50 lbs. May occasionally lift up to 50 lbs. May occasionally climb stairs. Ability to work overtime.
