Legal Secretary

Job Summary The legal secretary will work with multiple attorneys providing a full range of support, including preparation/revision of correspondence, pleadings, and documents; calendar maintenance; office and client filing; electronic transcription, and more. The successful candidate will enter data accurately, be organized, multi‑task, detail-oriented, and possess at least 3 years of recent legal secretary experience (including electronic filing). Litigation experience is preferred. Essential Functions Engage in the work of attorneys by demonstrating knowledge and status of current cases and projects, utilizing available resources to achieve goals. Provide support to up to four attorneys in employment law matters and backup support as needed. Communicate verbally and electronically with clients daily; act as liaison between internal departments and outside agencies. Prepare/revise correspondence, pleadings, documents, and other clerical assignments as directed. Handle a wide variety of complex and confidential, time‑sensitive material. Communicate with internal departments to initiate conflict checks and open new client engagements as requested. Prepare engagement letters for new clients/matters. Maintain calendars, CLE, reports, and time records. Book and organize travel arrangements, including flights, hotels, transportation, and make changes to reservations as needed. Maintain record of expenses and submit invoices timely to accounting department for payment. Work with docketing to maintain calendar for litigation attorneys. Transcribe electronic dictation, schedule depositions, proofread documents. Ensure storage of email and client documents to the document management system. Assist attorneys with monthly prebill review in electronic billing systems. Communicate with billing and collections departments as needed. Qualifications / Skills Required At least 3 years of recent legal secretarial experience within a law firm; labor and employment experience a plus. Electronic data entry and preparation of documents. Law firm billing software experience a plus. Familiarity with state and federal rules and procedures. Solid understanding of technical legal terminology and court filings. Experience with trial preparation and briefs. Punctual with excellent attendance. Proficient in generating Tables of Authorities and Tables of Contents. Strong verbal and written communication skills, excellent proofreading skills. Ability to multi‑task and respond to deadlines, balance workload for multiple attorneys. Knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Strong interpersonal skills and ability to work well in a cooperative office environment; communicate with attorneys and support staff at all levels. Educational Requirements High school diploma or equivalent required. 4‑year college degree preferred. Other Information This is a hybrid position. Employee is expected to work full‑time in office for the first 90 days of employment before remote work will be considered.
