Food Service Administrative Coordinator

Food Service Administrative Coordinator Reports to: Director of Food Service Location: Nashua High School South Work year: 196 Work Days (180 School Days; additional days in August and June) - School Year Salary range: Competitive Salary and Benefits under the NASAS contract Overall Responsibilities The Administrative Coordinator is responsible for managing and overseeing all aspects of the district's school nutrition point‑of‑sale and financial systems for 20 schools, including free and reduced‑price meal application processing, direct certification, compliance reporting, and submission of state and federal claims. This role ensures the accuracy, accountability, and integrity of student accounts, collections, and financial reporting while maintaining USDA compliance and supporting audits and reviews, and provides system maintenance, data management, and cross‑department coordination to support efficient food service operations across all schools. Responsibilities Manages central computer system processing student enrollment and free/reduced application data. Enters and processes free and reduced‑price meal applications for all schools. Prepares and sends all required free and reduced correspondence. Responsible for downloading Direct Certification lists from the states monthly. Verifies free and reduced lunch applications using USDA guidelines. Follows through with all required documentation. Follows up on past‑due accounts weekly and sends bills. Ensures the financial integrity of district‑wide collections and payment systems. Monthly deposit reconciliations for all schools. Investigates delinquent accounts, informs Food Service Director and school Principal as needed to arrange payment plan or change status. Updates pricing on all point‑of‑sale computers as needed. Debits accounts for returned fees. Communicates with schools to block check‑cash privileges. Notifies parents of checks returned for insufficient funds. Handles collections and monitors accounts weekly. Checks weekly participation records and resolves discrepancies. Compiles financial and participation information for monthly reports. Processes billing for Clearway Alternative School participation. Submits monthly food service claims to the NH Department of Education for Federal School Lunch program (School year and Summer School Claim). Maintains point‑of‑sale computers and equipment at each school and recommends upgrades. Performs start‑up and year‑end procedures for POS. Assembles necessary data for city auditors and state reviews. Researches free and reduced information for district programs and state forms. Confidentially distributes necessary free/reduced data information required for district's testing. Prepares monthly school USDA compliance reports. Works on special projects, as needed. Performs other duties pertaining to food services, as necessary. Travels to school to replace registers and POS equipment, as needed. Verifies transportation eligibility for high school students (once a year) and works closely with athletics to verify eligibility to exempt the student from pay to play. Qualifications Background in business administration, accounting, finance, or a related field (or equivalent experience). Experience with school nutrition programs, including free and reduced‑price meal applications and USDA regulations preferred. Knowledge of local, state, and federal statutes pertaining to school lunch and breakfast program requirements. Strong knowledge of financial management, account reconciliation, and reporting practices. Proficiency with point‑of‑sale (POS) systems and student information or nutrition software. High level of accuracy and attention to detail, especially with data entry and compliance documentation. Ability to maintain confidentiality when handling sensitive student and financial information. Strong organizational skills with the ability to manage multiple tasks and meet deadlines. Effective written and verbal communication skills for working with staff, families, and administrators. Problem‑solving skills with the ability to investigate discrepancies and resolve account issues. Proficiency in Microsoft Office Suite, particularly Excel, for reporting and data analysis.
