Litigation Secretary

Salary: $85,000 - $114,321 + Full Benefits

Location: San Diego (UTC Area)

Schedule: Full-Time | Hybrid (2 Days In-Office, 3 Days Remote After Initial Training Period)

A premier international labor and employment law firm is seeking an experienced Litigation Secretary to support a busy litigation practice handling labor & employment and civil litigation matters. This role is ideal for a highly organized professional with strong state and federal litigation experience who thrives in a fast-paced environment and takes pride in delivering exceptional support to attorneys and clients.
Key Responsibilities

• Prepare, format, proofread, and finalize pleadings, motions, briefs, correspondence, discovery, and other legal documents.
• Manage state and federal court filings, including electronic filing through California and federal court systems.
• Maintain litigation calendars and docket deadlines using calendaring and docketing software.
• Monitor court rules, filing requirements, and litigation deadlines to ensure compliance.
• Assist attorneys throughout the entire litigation lifecycle, from case inception through trial preparation.
• Coordinate depositions, hearings, mediations, and meetings, including scheduling court reporters and videographers.
• Maintain and organize client files and case records.
• Manage attorney calendars, travel arrangements, expense reimbursements, and time entry.
• Review vendor invoices and submit payment requests as needed.
• Provide professional telephone and administrative support to assigned attorneys.
• Utilize legal technology platforms including document management systems, calendaring software, and litigation support tools.

Qualifications

• Minimum 5 years of legal secretary or litigation secretary experience.
• Strong state and federal civil litigation experience.
• Thorough understanding of California court rules, procedures, and filing requirements.
• Experience preparing document shells, finalizing legal documents, and locating applicable court rules and procedures.
• Knowledge of litigation docketing and calendaring procedures.
• Experience supporting attorneys through all phases of litigation, including discovery.
• Proficiency with Microsoft Office Suite, Outlook, e-filing systems, and legal software.
• Experience with platforms such as iManage, NetDocuments, Milana/CompuLaw, Best Authority, PACER, ECF, LexisNexis, or similar systems is highly preferred.
• Excellent attention to detail, communication, and organizational skills.
• Demonstrated flexibility, adaptability, and willingness to learn new systems and procedures.
