Pay: $20 $24 per hour
Schedule: 8AM 5PM Monday Friday

We are seeking a detail-oriented and dependable Bilingual Administrative Assistant to support daily office operations in a fast-paced industrial environment. This role combines administrative responsibilities with basic Accounts Payable and Accounts Receivable support , requiring strong organizational skills, accuracy, and the ability to communicate effectively in both English and Spanish.

KEY RESPONSIBILITIES

Administrative Support

• Provide day-to-day administrative support to office staff and management
• Answer phones, respond to emails, and assist customers and vendors professionally in both English and Spanish
• Manage incoming and outgoing mail, packages, and deliveries
• Maintain organized filing systems, records, and documentation
• Prepare reports, spreadsheets, and correspondence using Microsoft Office (Excel, Word, Outlook)

AP/AR Support

• Assist with invoicing, billing, and payment tracking
• Support Accounts Payable processes including vendor communication and follow-ups
• Assist with Accounts Receivable collections and customer account inquiries
• Enter and maintain financial data in accounting systems (QuickBooks or similar preferred)
• Reconcile basic discrepancies and escalate issues as needed

Additional Duties

• Support scheduling, purchasing, and service-related documentation
• Coordinate with internal departments to ensure smooth workflow
• Maintain confidentiality of financial and company information
• Assist with general office coordination and special projects as assigned

Qualifications

• High school diploma or equivalent required
• 2+ years of administrative or office support experience preferred
• Bilingual in English and Spanish (verbal and written) required
• Basic understanding of Accounts Payable and Accounts Receivable processes
• Proficient in Microsoft Office (especially Excel)
• Experience with QuickBooks or similar accounting software preferred
• Strong attention to detail, organization, and time management skills
• Ability to multitask and work efficiently in a fast-paced environment
• Professional demeanor with reliable attendance and strong communication skills

Work Environment

• Office-based role within an industrial service setting
• Frequent interaction with customers, vendors, and internal teams
