Under the general supervision of the designated project lead(s), serves as the Digital Marketing & Outreach Specialist for a one-year initiative supporting the Mathematics, Natural and Health Sciences (MNHS) Division and the Academy for Creative Media (ACM) at the University of Hawai’i – West O’ahu. The Digital Marketing & Outreach Specialist is responsible for developing, implementing, coordinating, and assessing marketing and outreach strategies designed to increase program visibility, strengthen prospective student engagement, and support recruitment efforts. This position also develops sustainable digital marketing systems and workflows that improve the efficiency, consistency, and reach of existing communications. The position supports the development of an integrated infrastructure across MNHS and ACM, including social media, email communications, recruitment materials, digital campaigns, prospective student outreach, analytics, and appropriate use of automation and artificial intelligence tools. Duties and Responsibilities (*Denotes Essential Functions): Marketing and Communications

• Develops and implements coordinated marketing and communication strategies for MNHS and ACM academic programs, initiatives, events, and recruitment activities.
• Creates, edits, adapts, schedules, and distributes content across social media, email marketing, websites, and other approved communication platforms.
• Works collaboratively with faculty, staff, students, and other contributors to identify program activities, accomplishments, events, opportunities, and stories appropriate for promotion.
• Develops marketing content appropriate for prospective students and other identified audiences while maintaining consistency with University branding and communication standards.
• Maintains editorial and content calendars and assists in coordinating communications across participating programs.

Digital Marketing Systems and Workflow Development

• Reviews existing marketing and outreach processes and identifies opportunities to improve efficiency.
• Develops repeatable workflows for content development, approval, scheduling, distribution, and audience follow-up.
• Uses appropriate automation and artificial intelligence tools to assist with routine marketing functions, including content formatting, scheduling, distribution, audience segmentation, and campaign coordination.
• Establishes appropriate review procedures to ensure that automated and AI-assisted communications remain subject to human oversight and comply with applicable University polices and standards.
• Develops documentation, templates, procedures, and other resources necessary to sustain established marketing systems following completion of the project.

Recruitment and Outreach

• Supports recruitment and outreach activities targeting prospective high school, transfer, and other students interested in MNHS and ACM academic programs.
• Develops digital and print recruitment materials for use at school visits, college fairs, community events, and other outreach activities.
• Develops and maintains mechanisms for prospective students to access program information and express interest, including QR codes, digital landing pages, inquiry forms, and related communication tools.

Coordinates appropriate follow-up communications with prospective students and connects inquiries with appropriate University programs, resources, and enrollment information. Supports strategies intended to address project’s identified gap between initial prospective student interest and eventual application or enrollment activity. Marketing Analytics and Assessment *Develops mechanisms for measuring the effectiveness of marketing and outreach activities. Uses appropriate marketing analytics, including social media engagement, email performance, website activity, UTM tracking, campaign response, and inquiry data, to evaluate communication and outreach efforts. Maintains records and prepares periodic reports documenting marketing activities, audience engagement, campaign performance, and other appropriate measures. Works with appropriate campus units to assess relationships among marketing activities, prospective student inquiries, applications, and enrollment. Uses assessment results to recommend adjustments to marketing and outreach strategies. Coordination, Training, and Project Transition Coordinates with University Communications, Enrollment Management, Information Technology, academic units, and other appropriate campus offices. Assists with training student employees and other designated personnel in established marketing processes and systems. Develops standard operating procedures, templates, documentation, and other materials necessary for project continuity. Supports the transition of established systems to appropriate University personnel and/or student employees before completion of the two-year appointment. Performs other duties as assigned. Minimum Qualifications Possession of a baccalaureate degree in marketing, communications, public relations, advertising, business, creative media, digital media, or related field and one (1) year of progressively responsible professional experience with responsibilities for marketing, communications, public relations, digital media, recruitment, outreach, or a related field; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated. Functional knowledge of principles, practices and techniques in the area of marketing and communications as demonstrated by knowledge, understanding and ability to apply concepts, terminology. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with digital media, digital marketing, and web content management. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of digital marketing, content development, audience engagement, and promotional campaigns. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals. Demonstrated ability to operate a personal computer and apply word processing software and utilize media production software such as Adobe Creative Cloud, Canva, or related platforms. Supplemental Minimum Qualifications Functional knowledge of digital communication platforms such as social media, email marketing, web content management, or related technologies. Demonstrated ability to create written and digital content appropriate for different audiences and communication platforms. Ability to collect, interpret, and use marketing and audience-engagement data to evaluate communication activities and make recommendations. Ability to learn and appropriately use emerging technologies, including artificial intelligence and workflow automation tools. Ability to understand and follow organizational policies, procedures, branding requirements, and communication standards. Ability to work independently, manage multiple projects, establish priorities, and meet deadlines. Desirable Qualifications: Experience in marketing, communications, recruitment, or outreach in a higher education environment. Experience developing marketing campaigns for high school, transfer, or prospective college student populations. Experience with social media management, email marketing platforms, digital advertising, web content management, and marketing analytics. Experience with UTM tracking, digital campaign measurement, audience segmentation, or related marketing assessment techniques. Experience using artificial intelligence, workflow automation, or other emerging technologies to support marketing and communications activities. Experience developing repeatable workflows, standard operating procedures, documentation, templates, or training materials. Knowledge of University of Hawai?i and/or UH West O?ahu programs, organizational structure, policies, and branding practices. Experience working collaboratively with academic programs, faculty, students, and campus administrative units. Knowledge of Hawai?i's educational environment and communities served by UH West O’ahu. Nature of Appointment This is a full-time, 1.00 FTE, temporary APT appointment for a period of one (1) year. The appointment is non-renewable and is established specifically to support the development and implementation of the ACM + MNHS marketing and outreach initiative. The position is responsible for establishing, implementing, assessing, documenting, and transitioning sustainable marketing and outreach systems during the appointment period.
