At Tulsa Honor Academy (THA), we are on a mission to equip all scholars with the academic skills, content knowledge, and ethical character required for college graduation and life success.

We believe ALL scholars, regardless of race, background, income or ability, can achieve at high levels. We work relentlessly to ensure 100% of scholars are on a path to go to and graduate from a college of their choice, beginning in the fifth grade. 

Opening our doors in 2015 with 92 fifth grade scholars, THA will grow to serve over 1,400 scholars in grades 5-12 across our three schools in the 2026-2027 academic year.

WHAT YOU’LL DO 

Tulsa Honor Academy's Executive Team Support Coordinator serves as a key member of the Network Team, providing administrative, operational, and project support to the Chief Executive Officer, Chief Academic Officer, Chief Operations Officer, and Chief of Staff.

The Executive Team Support Coordinator helps ensure the Executive Leadership Team operates effectively by managing priorities, coordinating projects, organizing meetings and events, tracking key deliverables, and supporting cross-functional initiatives. This role serves as a central point of coordination for executive work, helping leaders stay focused on strategic priorities while ensuring important details, timelines, and follow-through are not overlooked.

The Executive Team Support Coordinator will work closely with executive leaders to support organizational planning, project execution, leadership meetings, retreats, travel, and special initiatives. The ideal candidate is highly organized, proactive, detail-oriented, and able to manage multiple priorities while maintaining a high degree of professionalism, discretion, and confidentiality.

Core Responsibilities

• Executive Leadership Team Support:
  • Provide administrative, operational, and project support to the Chief Executive Officer, Chief Academic Officer, Chief Operations Officer, and Chief of Staff.
  • Manage executive calendars, schedule meetings, coordinate logistics, and prioritize competing requests.
  • Prepare meeting materials, presentations, reports, and other documents for executive leaders.
  • Attend meetings as needed, capture notes, track action items, and ensure timely follow-up.
  • Maintain highly confidential information with professionalism and discretion.
• Project Coordination and Organizational Execution
  • Support the planning, coordination, and execution of cross-functional projects led by the Executive Leadership Team.
  • Maintain project plans, trackers, timelines, and documentation to ensure key initiatives remain on schedule.
  • Coordinate communication and follow-up across individuals to advance organizational priorities.
  • Monitor progress toward deliverables and proactively identify potential barriers or delays.
  • Coordinate planning and logistics for retreats and special events. 
  • Support special projects and organizational initiatives as assigned.

THE DETAILS

Qualifications/Certifications

• Bilingual (Spanish/English), required 
• High school diploma required, bachelor’s degree preferred
• Flexibility Required: this position includes travel and occasional evening and weekend work in support of events and special projects.

Experience

• 2+ years of experience as an Executive Assistant or Operations Coordinator is preferred. 
• Prior operations experience in a school setting is preferred 
• Charter school experience is strongly preferred
