Personal Injury litigation Secretary

Position Overview A successful plaintiff-side litigation practice is seeking an experienced Contract Litigation Legal Secretary to support attorneys handling personal injury matters. This role provides comprehensive litigation support, including case management, calendaring, client communications, discovery coordination, and document preparation throughout all phases of litigation. This position requires regular onsite attendance and is ideal for a detail-oriented legal professional who thrives in a fast-paced litigation environment. Key Responsibilities Maintain and organize personal injury case files from intake through resolution. Manage attorney calendars, including hearings, depositions, mediations, deadlines, appointments, and follow-up activities. Prepare, proofread, file, and serve legal pleadings, correspondence, discovery, and court documents. Coordinate communications with clients, medical providers, insurance carriers, experts, and opposing counsel. Assist with discovery management, document collection, and case preparation. Request, track, and organize medical records, billing records, reports, and other case-related documentation. Monitor treatment status, damages, liens, costs, and case developments. Prepare materials for settlement demands, mediation, arbitration, and trial. Support attorneys with court filings, administrative tasks, and day-to-day litigation needs. Perform additional duties as required to support the litigation team. Required Qualifications Minimum of 5 years of litigation legal secretary experience . Minimum of 3 years supporting personal injury litigation matters ; plaintiff-side experience preferred. Strong knowledge of litigation processes, including discovery, calendaring, document preparation, and e-filing. Experience working with medical records, billing records, liens, damages, insurance claims, and settlement documentation. Ability to quickly learn and adapt to new legal technology and workflow systems. Preferred Technical Skills Experience with the following technologies is strongly preferred: Microsoft Office Suite (Word, Outlook, Teams, Excel) Legal case management and calendaring software Adobe Acrobat Electronic court filing platforms Document management systems Business communication platforms Professional Skills Excellent organizational skills and attention to detail. Strong written and verbal communication abilities. Ability to manage multiple priorities and deadlines in a high-volume litigation practice. Professional, compassionate, and client-focused approach. Strong problem-solving and critical-thinking skills. Dependable, proactive, and collaborative team member. Spanish language skills are a plus. Work Environment Fully onsite position. Regular attendance during standard business hours is required. Occasional overtime may be necessary to meet litigation deadlines and business needs.
