Operations Manager (25-26 SY)

Job Description At Challenge Prep, the Operations Manager (OM) is a key point of contact and plays an integral role in the school’s Operations Team. The OM warmly and courteously interacts with families, visitors, and community members, ensuring a consistently positive experience. The OM supports school-based staff with operational information systems, analyzes operational data, manages student recruitment and enrollment, oversees special projects, coordinates procurement, and maintains the school’s purchasing, inventory, facilities, and technology environment. The OM also manages the school nutrition program, student and staff event planning, and the student transportation system. An OM is assigned to each grade span (K‑5, 6‑8, 9‑12) and reports to the Director of Finance, HR & Operations. Role and Responsibilities Present and engaged Monday through Friday, except holidays; occasional evenings, weekends, and parent events. Hold an FDNY Fire Guard Certificate of Fitness. Year‑round schedule with time‑off for school holidays and vacation. Responsible for purchasing, inventory, and financial management. Oversee approval processes, staff communication, and documentation for purchasing school materials, uniforms, and equipment. Work with the Director of Finance, HR & Operations to track expenses against the annual budget and forecast spending. Negotiate and research pricing to maximize resources. Create and oversee detailed inventory systems to avoid downtime. Facilities and Technology: maintain and oversee the school’s physical condition, keep spaces neat, organized, and optimized, work with custodial staff, maintain classroom technology (projectors, copiers). Operational Support: ensure fidelity of PowerSchool, maintain ATS and state data systems, manage student recruiting and enrollment, improve operations systems, lead special projects. Oversee school nutrition program, including breakfast, lunch, snacks, compliance, and reporting. Partner with custodial team to ensure garbage composting meets NYC Department of Sanitation guidelines. Assist teammates with student and family events, including conferences and field trips. Manage shared space reservations and calendars. Help execute arrival, lunch, dismissal, transportation, and other whole‑school systems. Create teacher‑friendly systems for photocopy and poster creation. Provide welcoming main office environment for families by delivering top‑notch customer service. Serve as primary point of contact for staff and student technology. Flexibility to work evenings and weekends as needed. Additional support at the request of the Director of HR, Finance, and Operations. Potentially manage associate‑level operations team members. Requirements Associate degree required; Bachelor’s degree preferred. 2+ years experience working in a Charter School. Strong verbal and written communication skills. Experience with Google Suite, ATS, Power School. Team leadership experience. Salary $65,000 - $80,000 a year (salary based on qualifications and experience).
