We are currently seeking a Front Office Manager for our busy outpatient physical therapy clinic in Redmond, WA. This is a hands-on leadership role for someone who loves working with patients, keeps a front desk running smoothly, and takes pride in helping a team do their best work.

At Advantage Physical Therapy we put patient care first. We are a locally owned, therapist-led practice with two clinics on the Eastside (Redmond and Sammamish), and our front office is the first and last impression every patient has of us. We are looking for someone with a friendly, outgoing personality, strong organizational skills, and a real interest in helping others.

What you will do

You will oversee the front desk systems and daily operations at our Redmond clinic, working alongside our Patient Care Coordinator and Biller, and supervise the administrative aspect of our Sammamish Patient Care Coordinator. You would be reporting to the Redmond Clinic Director and the practice owner. Day to day, that includes:

• Welcoming patients, answering phones, and managing voicemail and our phone system

• Managing all patient scheduling, including scheduling patients after their evaluation and keeping our reminder email and text systems running

• Overseeing and performing insurance benefit verification and explaining benefits to newly evaluated patients

• Collecting patient payments and ensuring patient responsibility is collected correctly

• Managing our waiting list, oulook repots and various apps that streamline our processes

• Uploading weekly front office reports and tracking front office activity

• Supervising and mentoring our Patient Care Coordinators, including front office staff scheduling, coverage, training, and performance guidance, and assisting with hiring when needed

• Leading front office training so our systems are consistent across the company

• Coordinating with our therapists and clinical staff to keep schedules full and patient flow smooth

• Responding to patient questions and resolving concerns with professionalism and care

• Maintaining accurate patient records and ensuring HIPAA compliance at the front desk

• Purchasing and managing clinic and office supplies

• Maintaining a clean, welcoming front office and waiting room

Who we are looking for

• Two or more years of medical front office, patient care coordinator, or medical receptionist experience; outpatient physical therapy or rehab experience is a plus

• Prior lead or supervisory experience at a front desk is strongly preferred

• Working knowledge of insurance verification, benefits, and patient collections

• Comfortable with EMR and practice management software and proficient with Microsoft Office and basic data entry

• Solid understanding of HIPAA and medical office procedures

• A pleasant demeanor, a positive forward-thinking outlook, and the ability to multitask and stay organized when the clinic is busy

• A team player who communicates well with management, staff, patients, and physician offices

• Someone who wants a long-term position and the chance to grow with us

Most importantly, you need to be dedicated to helping patients get the care they need.

Schedule and compensation

• Full-time, Monday through Friday during clinic hours; no weekends

• $26 to $32 per hour, depending on experience, plus a weekly bonus program based on overall clinic performance
