We are seeking a dynamic Facilities Administrator I with 1-3 years of experience to help with mail services, daily work, and record retention duties. This is an onsite-based position in the Van Nuys office and supports all facets of the day-to-day operations and/or projects within the Facilities & Security department.

This position will assist in most of the daily functions of the Facilities department, as well as responding to the immediate needs of the broader staff.

What You'll Do

  1. Demonstrate and maintain up-to-date knowledge of and ensuring on-going compliance with applicable regulatory requirements, such as BSA, OFAC, CIP and internal policies and procedures.
  2. Prepare and scan loan documents & signature cards.
  3. Maintain off-site records inventory.
  4. Process daily work and assist with document retrieval requests by internal staff.
  5. Prepare storage boxes and coordinate pick up with the outside storage vendor.
  6. Handle all mail services.
  7. Manage the Access Control system and assign/remove roles and credentials as requested for employees, vendors, and visitors.
  8. Assist with the daily opening/closing procedures for the Van Nuys building.
  9. Occasional overtime and weekend work is required as projects dictate.

Minimum Qualifications

  • 1 to 3 years in similar or related experience required.
  • A minimum of 1 year of experience providing administrative support in a fast-paced environment.
  • A minimum of 1 year of experience supporting a facilities or record retention department, or commensurate work experience, is preferred.

Education and Certificates/Licenses

  • High School diploma or GED required.

  • Excellent verbal and written communication skills
  • Excellent interpersonal, and customer service skills
  • Excellent organizational and attention to detail skills
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a fast-paced and changing environment
  • Proficient with Microsoft Office Suite or related software
  • Working understanding of Record Retention regulations, practices and procedures is preferred

This is an office-based position involving manual labor. Reliable, predictable, on-time attendance is essential. The associate will spend most of the working time walking, lighting, and standing, with light time using computers. Position requires repetitive hand movements; the daily ability to focus on several tasks at one time, and communicate effectively with others in person, over the phone, and via electronic communications, and calmly and professionally.
