Program Coordinator

POSITION SUMMARY The Program Coordinator will support Program Managers in coordinating internal teams and ensuring programs meet client expectations and company goals. This role is critical in anticipating and mitigating risks to ensure flawless implementation, execution and success on scope, budget and schedule constraints. The Coordinator will provide administrative support for new and existing client programs, pivot quickly, navigate ambiguity and maintain exceptional attention to detail. PRIMARY RESPONSIBILITIES Coordinate project tasks and responsibilities for cross‑functional departments, document mitigation steps for gaps or unforeseen issues, and record details of each work stream to ensure high‑quality, on‑time execution. Facilitate project communications on behalf of the Program Manager with external stakeholders, collaborators and partners to synchronize internal activities and prevent timeline delays. Organize and distribute client program documents and deliverables for easy access by all team members across multiple platforms. Collaborate with Quality Assurance/Regulatory personnel to drive Problem Reports to closure. Support Program Managers with revenue recognition for projects and verify final information for the Accounting Department prior to invoice release. Assist in setting up client projects in the IMS/WMS, managing materials and ensuring the system remains up-to-date. Apply Good Manufacturing Principles (GMP) in all areas of responsibility. Support process definition, SOP and work instruction development, project template optimization and document revisions to continuously drive operational efficiencies and scalable workflows. Review project documents, including executed SOWs and Quality Agreements. Influence business, operations and technology stakeholders, including leaders across the organization, to drive strategic initiatives for clients. Other duties as assigned. Basic knowledge of project management and understanding of supply chain/operations. QUALIFICATIONS & EDUCATION REQUIREMENTS Bachelor’s Degree in life sciences or a related field required. Understanding of biopharma, medical device or life sciences industry terminology. 1+ years of hands‑on experience coordinating programs and/or projects of increasing complexity in the life sciences or medical device industries. 1+ years of experience in a client‑facing role in the pharma, biotech or medical device industries. Proficiency in Office365 (Excel, Project, PowerPoint, SharePoint, Teams), CRM (NetSuite, Salesforce) and project management systems (AdaptiveWork, Zoho, Smartsheet, etc.). COMPENSATION Up to $25/hr, plus benefits, stock options and a 401(k) plan.
