Job Description

This role provides essential administrative support by managing incoming calls, organizing contracts, and maintaining accurate invoice records. The Administrative Assistant helps ensure smooth daily operations by handling documentation, communication, and general office tasks with accuracy and professionalism.

Responsibilities

• Answer incoming phone calls in a professional manner and direct inquiries to the appropriate contact or department.

• Manage contracts by organizing, tracking, and updating documentation to ensure records remain accurate and current.

• File, organize, and maintain invoices in both physical and digital formats, ensuring they are easily accessible and properly archived.

• Provide general administrative support, including handling correspondence, data entry, and document preparation as needed.

• Assist with customer or client inquiries by providing courteous and timely support over the phone or via other communication channels.

• Collaborate with team members to support day-to-day office operations and contribute to an organized and efficient work environment.

Essential Skills

• Experience in administrative support or customer service roles.

• Ability to handle phone calls professionally and communicate clearly with internal and external contacts.

• Strong organizational skills to manage contracts and file invoices accurately.

• Attention to detail when maintaining records and documentation.

• Basic proficiency with office tools and systems used for filing and record keeping.

• Ability to manage multiple tasks and prioritize work in a busy office environment.

Additional Skills & Qualifications

• Previous experience in an administrative assistant or customer service representative (CSR) position.

• Comfort working with standard office software and filing systems.

• Strong interpersonal skills and a customer-focused mindset.

• Ability to learn new processes and office procedures quickly.

Work Environment

The role is based in an office environment that involves regular use of phones, computers, and standard office equipment. Job Type & Location

This is a Contract position based out of Fairfax, VA.

Pay and Benefits

The pay range for this position is $18.00 - $18.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
