The Project Manager serves as the primary point of contact and liaison for assigned clients, overseeing the complete production process for direct mail campaigns from initiation through completion. This position coordinates project requirements across multiple departments, tracks timelines and milestones, ensures adherence to quality and postal standards, and maintains clear communication with clients and internal teams. The Project Manager translates client requirements into detailed production instructions and works proactively to resolve issues, minimize delays, and ensure successful project completion and client satisfaction.Project Manager Responsibilities:Utilize production timelines provided by the Scheduling Department to track project milestones and ensure timely completionCommunicate with internal departments to monitor project progress and proactively address potential delaysCoordinate the activation of new projects by submitting required paperwork to SchedulingEnter detailed print work orders outlining print, laser, and production specificationsEnsure production proceeds smoothly and remains aligned with client requirements and established timelinesInterpret client instructions and translate them into clear, actionable work instructions for internal teamsManage client inventory and serve as a liaison for internal and external communicationPerform additional responsibilities as needed to support team and company objectivesServe as the primary point of contact for assigned clients throughout the project lifecycleMaintain consistent communication with clients, providing project updates and addressing questions or concernsCompare project quotes with sales proposals, identify discrepancies, and initiate re-quotes when necessaryPrepare sales proposals and requests for quotes in the absence of Sales RepresentativesEnsure client expectations, specifications, and deadlines are clearly communicated and maintained throughout productionMaintain a professional, responsive, and solution-oriented approach to client serviceCreate package mock-ups based on client specifications while ensuring compliance with applicable postal regulationsReview client artwork to ensure it meets manufacturing and production guidelinesSubmit artwork and instructions to the Project Engineer for pre-press processingLog client data files, layouts, laser mock-ups, and processing instructions into applicable IT systemsProvide clear instructions to programmers and image designers, including requirements for variable data, codes, and scan linesReview black-and-white laser and color proofs to verify compliance with client specificationsInspect laser setups and client samples for accuracy and adherence to established quality standardsSubmit envelope artwork to the Postal Coordinator for review and verification of postal requirementsPre-bill projects within 24 hours of completion or mailingUse client-approved pricing to determine whether billing should be partial or finalIdentify and apply approved additional charges incurred during productionAssist with training new Project Managers as neededParticipate in relevant training sessions and seminars to remain current on industry practices, technologies, and processesContinuously develop knowledge of direct mail production, printing, data processing, and postal requirementsRequirements for Project Manager:Bachelor's degree preferred, or an equivalent combination of education and relevant professional experience4+ years of project management or customer service experience requiredBusiness-to-business experience preferredExperience in commercial printing, direct mail, or a related production environment preferredThorough knowledge of commercial printing, laser imaging, data processing, mail processing, postal regulations, and related terminologyStrong computer skills, including proficiency with Microsoft Excel and WordExcellent written and verbal communication skillsStrong interpersonal skills with the ability to effectively interact with clients and internal teamsExcellent organizational and time-management skillsAbility to manage multiple projects simultaneously while meeting deadlinesMeticulous attention to detail with the ability to identify discrepancies and implement solutionsAbility to work independently while also contributing effectively as part of a teamProactive, resourceful, and solution-oriented approach to problem-solvingAbility to work effectively under pressure in a fast-paced environmentWillingness and ability to learn and adapt to new technologies, systems, and processesStrong customer-service mindset with a focus on client satisfaction and project successIND345 Accelerate Professional Talent Solutions has the resources of a large company but the feel and personalized customer service of a small one.
