Location: San Francisco, California (Hybrid)

Employment Type: Contract

Duration: 12 Months

Role Overview

This position provides technical and business systems support for an organization. The role involves translating business needs into technical requirements, acting as a liaison between business units and vendors, and managing the schedules and administrative needs of two executives. The successful candidate will work closely with senior leadership to ensure comprehensive support for the executives and the wider organization.

Key Responsibilities
  • Manage schedules and calendars for two executives, including meetings, travel, and events.
  • Screen and respond to incoming emails and correspondence proactively.
  • Prepare executives for daily meetings by compiling and organizing necessary documents and materials.
  • Arrange complex and frequently changing travel plans and itineraries.
  • Process expense reports accurately and in a timely manner.
  • Provide administrative support to the leadership team and assist other senior members as needed.
  • Coordinate and manage team routines, events, and activities.
  • Handle the ordering of supplies, processing access requests, and team communications.
Required Qualifications

Experience: 2 to 5 years of experience as a Senior Administrative Assistant, with demonstrated ability to interact with senior-level executives. Experience managing executive calendars and prioritizing activities is required.

Skills: Candidates must be resourceful, adaptable, and able to work autonomously within a complex organization. Strong organizational skills, attention to detail, and the ability to multitask in a deadline-driven environment are essential. The role requires handling confidential material with integrity, a proactive attitude, and excellent interpersonal communication skills. Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) is mandatory.

Work Environment

This is a hybrid position requiring a minimum of three days per week onsite, starting from day one. The role demands the ability to adapt to daily changes and effectively prioritize tasks.
