Founders Executive Assistant

divh2Executive Assistant To Co-Founder And Field CTO/h2pYou lay the train tracks in front of our Co-Founder and leadership team. You predict what they need before they ask. And you help to keep our SF office running./ppThis is an EA role supporting our Co-Founder and Field CTO. Youll also be working across other executives based in SF, and youll be the go-to person for keeping things running smoothly./ppYoull be in the office 3-4 days a week. The whole team is in on Mondays, Wednesdays, and Thursdays. Youre the physical, human layer around some of the busiest people in the company: protecting time, reading context, and making high-judgement calls in real time./ppThe role is varied. One day youre coordinating a team offsite, the next youre pulling together slides for a big presentation. You might be helping the People team on the ground in SF, or picking up scheduling across the SF leadership team./ppWere big believers in AI, and youll have access to the best tools. We expect you to know when to use them, when to step in yourself, and what great quality looks like. What AI cant do is read the room, build relationships, or spot a problem before it lands. Thats where you come in./ph3What Brilliant Looks Like/h3ulliYou read the room, you know whats important and what isnt./liliYou filter ruthlessly, intercept and let through what should./liliYoure trusted with sensitive information, and handle it with absolute discretion./liliYou make snap decisions with good judgement, you dont need to check every time./liliYou push things forward, you follow up, and make sure nothing quietly slips./liliYou handle logistics, scheduling, travel, and the personal admin that slows leaders down./liliYou take ownership of the environment, making sure the office runs exactly as it should./li/ulh3What The Job Actually Involves/h3ulliDiary and logistics. Owning the calendar, travel, and day-to-day logistics. Coordinating across the SF leadership team. Making sure the right things happen at the right time, and stepping in early when somethings about to break./liliTeam offsites and events. Planning and running team offsites and internal events. Turning rough ideas into well-run, high-quality experiences./liliInformation triage. Theres a constant stream of information. Your job is to filter it, decide what matters, and make sure the right people see what they need to see, at the right moment./liliPreparation and output. Turning rough ideas into something usable. Prepping for all-hands, building slides, shaping notes into clear documents, and making sure important moments are well prepared./liliOffice ownership. Owning how the SF office runs day to day. Keeping the space ready, solving problems as they come up, and making sure nothing quietly degrades over time./liliPeople. Getting to know the incident.io team and acting as eyes and ears across the business. Welcoming customers, investors, and visitors. Building relationships, understanding who matters most, and helping leadership stay connected to the right people./li/ulh3The Profile Were Looking For/h3ulliJudgement and anticipation.
