Executive Personal Assistant to Founder

A highly dynamic founder and entrepreneur with multiple successful AI-based businesses is seeking a capable Executive Personal Assistant to streamline daily operations across his business and personal affairs. The Founder maintains an intense schedule spanning multiple companies, time zones, and priorities, and the EPA will serve as the operational backbone that keeps daily activities, communications, logistics, and commitments running smoothly. This role requires someone exceptionally organized, adaptable, and comfortable operating in a fast-moving and sometimes unconventional environment.
The ideal candidate is pragmatic with a high EQ, and comfortable working closely with a founder who operates at a high tempo and often outside traditional schedules. This position is best suited for someone who values structure, reliability, and quiet competence over visibility, with the discretion and independence to manage shifting priorities without constant supervision.
RESPONSIBILITIES
- Manage the Founder's calendar, including complex scheduling across multiple companies, projects, and time zones
- Coordinate meetings, calls, and travel logistics, often on short notice
- Lead an international team of assistants to ensure seamless and streamlined support
- Act as a gatekeeper for communications, managing inbound messages and prioritizing responses
- Prepare briefing materials, notes, and follow-ups for meetings and calls
- Handle administrative and logistical tasks that allow the Founder to remain focused on strategic work
- Coordinate with internal teams and external partners to ensure commitments and deadlines are met
- Assist with personal and professional scheduling needs as required
- Respond to urgent issues and scheduling changes quickly and calmly
- Maintain strict confidentiality regarding all communications, business matters, and personal information
QUALIFICATIONS
- Prior experience supporting a founder, executive, investor, or senior operator with demanding and unconventional schedules
- Background in fast-moving startup or technology environments
- Ideally based in San Francisco and able to support in-person logistics when needed
- Exceptional organizational and scheduling ability
- Strong written and verbal communication skills Tech-savvy and able to leverage systems to optimize workflow
- Experience coordinating across international time zones High EQ, adaptable, and able to remain calm under pressure
- Practical problem-solver who can anticipate needs and act without constant direction
- High discretion and professionalism
- Comfortable working flexible hours and occasionally taking calls or handling issues outside standard work hours
- Ability to travel as needed
Location: San Francisco, CA
Compensation: $140K to $200K DOE, comprehensive benefits package, and PTO
Schedule: Hybrid, mirroring the CEO, with about 2 to 3 days between the office and the Founder's residence as needed and other WFH days | 10/11am to 8/9pm with flexibility to work outside of regular office hours
