About The Role As a Project Administrator, you will be the backbone of our project operations. Working closely with our Construction Managers, you'll manage the day-to-day flow of project data, ensure seamless communication between all stakeholders, and keep every document and detail organized. Your ability to juggle multiple tasks at once, while maintaining precision and clarity, will ensure that each project runs smoothly, from the first blueprint to the final inspection. This role is central to keeping projects on time, on budget, and on point. You'll be responsible for everything from organizing project meetings and distributing minutes, to tracking material orders and managing submittals. What You'll Do Serve as the communication hub for each project, ensuring clarity across teams and vendors. Organize and schedule project meetings, creating agendas and distributing meeting minutes. Track all construction documents, engineering reports, submittals, and inspections to ensure the project’s progress is up to date and well‑documented. Manage the procurement process, liaising with vendors on materials, samples, orders, and deliveries. Keep a close eye on project costs and invoices, reviewing them weekly for accuracy. Collaborate with the Construction Manager(s) on change orders, estimate updates, and construction schedules. Prepare project reports for both internal teams and external stakeholders, giving everyone a clear view of the progress being made. Understands construction terminology, materials, and processes, and can apply project management principles effectively. Has strong technology skills and is able to quickly adapt to new software platforms. Is a strong communicator, able to articulate project details and status updates clearly and confidently. Is familiar with basic accounting and budget tracking for construction projects.
