Summary We are seeking a highly organized and adaptable Temporary Operations Assistant to support daily administrative and operational functions. This position plays a critical role in ensuring smooth business operations and offers the opportunity to transition into a full-time role based on performance and business needs. Responsibilities
- Manage incoming and outgoing phone calls and email communications
- Maintain and update departmental databases, tracking systems, and operational lists
- Create, update, and analyze data in spreadsheets and reports
- Handle administrative tasks including filing, faxing, mail distribution, and supply ordering
- Prepare presentations, complex reports, and handle confidential correspondence and documents
- Support internal operations while interfacing with customers and maintaining strong internal/external relationships
- Coordinate meetings, travel arrangements, and manage department calendars
- Process purchase cards, expense reports, invoices, and settlement forms
- Submit deal sheets in internal systems/portals
- Assist in administering operational programs, projects, and processes
- Document meeting minutes, track action items, and follow up as needed
- Identify opportunities to improve processes and support operational efficiency
- Manage multiple priorities in a fast-paced environment with minimal supervision
- High school diploma or GED required; some college preferred
- 2-5 years of experience in an administrative or operations support role
- Strong organizational, multitasking, and time management skills
- Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience creating reports, presentations, and spreadsheets
- Strong written and verbal communication skills
- Excellent phone etiquette and experience with multi-line phone systems
- Ability to handle sensitive and confidential information with professionalism
- Experience coordinating projects and supporting cross-functional teams
- Familiarity with ERP systems such as AS400 or SAP preferred
- Experience supporting operations, sales, marketing, or professional services environments a plus
- Bilingual skills are a plus
- Ability to work independently with minimal supervision
- Strong attention to detail and decision-making skills
- Highly flexible, resourceful, and proactive in problem-solving
- Ability to remain composed and effective under pressure
- Demonstrated ability to prioritize and manage multiple projects simultaneously
