Job Title: Respite Care Program Coordinator Job Type: Part-Time (28 hours) Department/Program: Outpatient Division, Respite Care, Planned and Crisis Respite Reports to: Respite Care Program Director Work location: Sandy Administration Building FLSA status: Non exempt/Hourly Work schedule: Monday-Friday (8:00am-5:00pm) and some evenings Salary: $21.85/hr - $24.08/hr. (Bilingual Spanish) $23.82/hr - $26.25/hr. Job Summary The Respite Care Program Coordinator is responsible for processing respite referrals to determine initial and continued eligibility for respite services for youth who are authorized for mental health services. The position will support coordination of respite scheduling, when needed, and enter client intake data and confirmed respite documentation in their EHR (Credible). This position will share the responsibility in maintaining the ongoing certification of respite homes and conduct required home visits to include safety, supervision, and support of certified respite homes. This position primarily corresponds via telephone, text, and email. This position participates in after hours on-call rotation in support crisis respite requests and certified respite providers when providing respite care every other week. Duties and Responsibilities Communicate and provide information about the program to caregivers accessing respite care. Correspond with parents/legal guardians, therapists, and care coordinators to process respite eligibility of respite program intake and ongoing services according to Oregon Health Plan/Medicaid criteria. Maintain ongoing client paperwork for each case to ensure continued eligibility for respite services: Track deadlines/updates on referrals, consents, treatment plans, and respite insurance/authorizations. Enroll and discharge inactive respite clients in EHR and client electronic file. Use clinical information to collaborate/assist with respite scheduling to available respite homes. Schedule respite placements by matching requests with available respite homes, coordinate pre-respite meetings and coordinate post-placement debriefing with respite providers and referring agencies. Assist with foster parent re-certification, supervision, and retention of respite providers. Conduct home visits and safety check walk through within the community. Attend monthly foster parent support meetings and trainings. Provides 24/7 on-call support for foster parents, when schedule for weekly rotation. Professional communication among the agency (fiscal, facilities, IT, Development), outside partners, and customers. Responsible for the collection, tracking, review, and maintenance of service documentation including case notes, incident reports, and other required documentation. Demonstrate a commitment to developing a thorough knowledge and application of the Sanctuary model and other organizational policies & practices. Participate in staff development, in-services, and training related to workplace effectiveness; model professional behaviors and implement improvements to business practices with awareness of their impact in a trauma-informed behavioral healthcare organization. Knowledge and back up of program operations. Other duties as assigned to ensure successful operation of program/department. Competencies Familiarity with community mental health services for children with special mental health needs and their families and with the Child Welfare system, specialized care and treatment needs of foster children and youth. Familiarity with the Oregon Administrative Rules, Medicaid standards of care, and ability to ensure certified foster homes meet these standards. Knowledge of HIPAA and confidentiality policies and procedures in human service settings. Demonstrates openness to growth and change, social responsibility, and contributes to a trauma-informed and equitable work culture at Morrison. Able to provide culturally responsive care and hold each other and yourself accountable to the diversity and uniqueness of all individuals within Morrison, our clients and our community stakeholders. Required Position Qualifications Bachelor’s degree in human services or related field and a minimum number of two years directly related experience required working with children/families, or In lieu of a related BA/BS degree a minimum of 4 years of related work experience working with high needs/at-risk children and their families. CPR/First Aid certification required, and State Licensing required trainings within 30 days of hire. Preferred Position Qualifications Bachelor’s degree in human services or related field. Experience working with electronic health records. Bilingual in Spanish written, read and verbal. Must clear a language proficiency test for Spanish. Other Requirements Able to work shift hours and days, as assigned. Position may require work outside of usual work hours on occasion. Able to pass a comprehensive criminal history background investigation. Able to travel to/from work, within the community to respite homes for regular home visits or if need to respond when on-call after hours or on weekends. Hold a valid drivers’ license. Must be licensed in Oregon or Washington within 30 days of hire. If driving personal vehicle, must maintain minimum auto insurance policy. Working Conditions Environment: Work is done in clinical offices, community settings, including Morrison Residential, administration buildings, public locations, and social service sites. Breaks and meals are subject to interruption. Universal Precautions and remaining alert to the environment are critical to address the potential for violent behavior, exposure to disease, biohazards, noise, and contaminants. Mental demands: Work assigned is diverse and may involve addressing new and unique circumstances. The work might be unpredictable and disrupts planned tasks, requiring flexible time management. Physical demands: Ability to remain calm and emotionally available serving youth, adults and or families who have experienced trauma. Proficient with office equipment and physical movement. Ability to perform physical interventions if needed in accordance with program and training. Physical dexterity for reaching, stooping, and repetitive wrist and hand motions.
