Classification: Administrative Support Coordinator I Hours: Full-time / 40 hours per week FLSA: Non-exempt Anticipated Hiring Salary: $4,047 per month (Step 1) CSU Salary Schedule CSUMB provides pay scales based on scope, responsibilities, qualifications, available budget, internal equity, and CSU systemwide pay for comparable jobs. Employment with the California State University System Purpose Reporting to the Strategic Projects Manager with guidance from the Director of New Students Program, Director of Project Rebound, and Director of the Otter Cross Cultural Center, the Special Programs Coordinator provides clerical and administrative support to New Student Programs, Project Rebound, and affinity centers, performing tasks such as office duties, ordering supplies, tracking and reconciling financial data, and planning and event support. Essential Duties and Responsibilities Make purchases using university procard, create purchase orders, and submit invoices for payment. Track department expenses through shadow budgets and reconcile expenditures against finance data warehouse; complete monthly procard reconciliations for own and directors’ cards. Provide administrative support: develop positive relationships, process travel, budget, and personnel documents, book travel arrangements, and compose correspondence and reports. Maintain inventory of office supplies and marketing materials, organize supplies, and provide front‑desk support. Plan and support student programming and events: place catering orders, submit work requests, collaborate with university departments, run day‑of support including check‑in, attendee lists, vendor coordination, and ensure catering and facilities requests are fulfilled. Process paperwork to hire guest performers and vendors for events, and process all event invoices for payment. Other Functions Perform other job‑related duties and special projects as assigned. Knowledge, Skills, and Abilities Thorough knowledge of university infrastructure, policies, procedures; English grammar, spelling, punctuation; office systems and budget policies. Experience and working knowledge of budget policies, technical aspects of work assignments, and multiple project priorities. Ability to use a broad range of technology and systems, handle multiple priorities, apply policies independently, perform business math, draft correspondence, and interact effectively with a broad range of contacts. Minimum Qualifications Functional knowledge of standard office procedures and practices, ability to understand and operate in varied organizational structures. Thorough knowledge of English grammar, spelling, punctuation, and clear oral and written communication. Proficiency in basic business mathematics and quick learning of new office technology systems and software. High school diploma or equivalent, with several years of related office work experience. Technical Fluency Oracle/PeopleSoft, CSU Common Management System, Microsoft Office (Professional), Google Workspace, 25Live, intranet drives, internet browsers. Special Conditions of Employment & Position Designations Background check required, including criminal record assessment. Physical Environment Office environment with standard equipment; requires computer and desk work for extended periods; occasional travel between campus offices and off‑campus locations.
