Executive Assistant (Corporate)

Job Summary Provides executive-level administrative support which includes calendar management, travel coordination, email management, handling of phone calls and expenses. Performs diverse, advanced, and confidential daily executive level administration interfacing on a daily basis with Corporate executives, CEO, and other leaders including Board Members, Family Counsel, Family Members, and other Executives within the enterprise. Responsibilities Coordinate the day‑to‑day and long‑range activities and operation of the Executive Office. Manage complex and dynamic calendars. Manage all aspects of travel arrangements such as booking, preparing travel itineraries, making changes as needed and submitting expense reports. Coordinate meetings to include participant’s travel, lodging, dining arrangements and meeting space as needed. Create, develop, and/or edit visual presentations; prepare materials and communications for the C‑Suite executives. Serve as the liaison between the businesses, executive office and/or Board of Directors and Shareholders as needed. Facilitate communication, plan events and business meetings, and distribute information. Draft agendas and record minutes on occasion. Coordinate quarterly Board of Director meetings and monthly Board of Directors calls, including preparing materials and arranging logistics such as travel, entertainment, meals, lodging, and meeting environment. Sort and distribute mail. Draft written responses or replies by phone or e‑mail when requested. Respond to regularly occurring requests for information. Prepare general correspondences, memos, charts, tables, etc. Proofread copy for spelling, grammar and layout, making appropriate changes; ensure accuracy and clarity of final copy. Minimum Qualifications Highly organized with strong attention to detail and follow‑through. Strong communication, teamwork, and interpersonal skills. Ability and willingness to take responsibility and deliver results with innovation and a strong commitment to excellence. Demonstrated ability to plan, organize and prioritize workload to satisfy multiple constituents and meet deadlines. Sensitivity to the nature of the role, exercise discretion in internal and external communications, and maintain company information in strict confidence. Education and Experience Prior experience as an Executive Assistant supporting the Chief Executive Officer or C‑Suite level. Experience with a private company and/or Board of Directors strongly preferred. Minimum of 8 years of progressive administrative support experience; minimum of 4 years as an executive assistant. Managed complex and dynamic calendars supporting multiple executives with calendar management, travel arrangements, scheduling of meetings and events. Exercise mature judgment and able to work independently under minimal supervision. Bachelor’s degree an advantage. Computer Skills Excellent computer skills; proficient and in‑depth knowledge of relevant software such as Microsoft Office Suite (Word, Excel, PowerPoint) and internet research abilities. Knowledge of, or ability to learn software applications related to the core functions of the role (e.g., document and information management, communication, administration of corporate office financial transactions and activities).
