Job Summary The incumbent is responsible for sustaining an environment of intrinsic goodwill for the practice while providing optimum services to patients. This position serves as office supervisor and functions under the direction of the Department Manager, supervising a large group of employees and providing accountability as delegated for the day‑to‑day operations of the designated clinic location(s). The role is for the Primary Care team within the Patient Contact Center. Minimum Qualifications Minimum 1–3 years leadership experience. Demonstrated ability to work independently with little direction and make supervisory decisions for a specified unit of workers. Interpersonal skills to establish and maintain effective working relationships with all co‑workers, consistently interacting with patients and other members of the public with patience, courtesy and professionalism. Skills to interview applicants using screening techniques; knowledge of standard hiring protocols; objectively evaluate employee performance; train, supervise, resolve conflicts; administer disciplinary action; encourage employee development. Organizational skills to prioritize, coordinate, and direct concurrent assignments effectively; adjust to changing workload and maintain work effectiveness in a high‑volume setting. Computer proficiency: electronic mail, spreadsheets, word processing, medical office management, scheduling, templates, demographic and insurance information. Typing and writing skills for timely and accurate input and routine correspondence. Bookkeeping skills to maintain accurate records of patient financial transactions, prepare related financial reports, balance cash box, and prepare deposits. Knowledge of medical office procedures, terminology, appointments, records, insurance verification, cashiering, billing, filing, HIPAA, and confidentiality laws. Knowledge of health‑care insurance systems (Medi‑Cal, MediCare, HMO, PPO, fee‑for‑service, county‑funded coverage, workers’ compensation) to obtain authorizations, appoint patients, make referrals, coordinate services, submit billing documentation, and explain requirements. Knowledge of ICD‑9, CPT, and HCPCS coding to identify services performed, including diagnoses, procedures, and supplies. Ability to understand and apply industry process‑improvement methods to identify, plan, implement, and measure outcomes. Preferred Qualifications Associate’s degree or higher. Minimum 1–3 years experience in a contact center environment. Minimum 1–3 years experience in a health‑care environment engaging with patients. Key Responsibilities 40% – Customer Service, Empowerment and Accountability, and Professional Behavior & Development. 40% – Staff Supervision, System Operations and Coordination of Daily Operations. 20% – Additional Job Functions. Department Overview The patient contact center is responsible for more than 30% of all appointment and service engagements across the ambulator division. The supervisory role supports a team of agents and leads to provide a high level of service to patient inquiries and to implement agreed‑upon processes. This position directly supervises 18‑22 schedulers (PSR II) agents and 2 PSR III leads with the Primary Care team. Support is provided to four CPG clinics: Midtown, Midtown Commons, Elk Grove, and Carmichael, including error correction, clinical documentation, and physician concerns. The role cross‑supports the greater Primary Care team of 107 physicians, 32 APP, and 117 Residents, handling approximately 760,000 patient telephone scheduling and service engagements per year.
