JOB DESCRIPTION WearelookingforaConstructionCoordinatortojoinourReconstructionteam.Youwillberesponsibleforcoordinatinganddocumentingallphasesofcommercialandresidentialreconstructionprojectsfromthemomentajobisreceivedfromthemitigationdepartment,includingcoordinatingwithprojectmanagers,constructionmanagers,subcontractors,adjusters,andconstructionconsultants,andmanagingmaterialsandequipment,whileensuringthatspecificationsarefollowedandworkproceedswithquality,onschedule,andwithinbudget. PRIMARY RESPONSIBILITIES Internal Communication Collaboratewithinternalclaimsmanagers,permitexpeditors,andconstructionprojectmanagerstoensureefficient,effectivejobcompletionandclientcommunication. Provideinternalupdatestouppermanagement,theDirectorofConstruction,andprojectmanagers. External Communication ManageallTPAworkandensureallrequirementsaremettomaintainingoodstanding. Workcloselywithoccupants,propertyowners,adjusters,subcontractors,andallinterestedpartiesthroughoutthereconstructionprocess,includingdailyupdatesandcalls,toensurethehighestlevelofcustomersatisfaction. Providesupporttotheclient'steam,includingprojectmanagers,constructionmanagers,anddesigners. Coordinatewitharchitectsandengineersfortimelyandaccurateresponsestorequestsforinformation(RFIs). Time Management/Organization Maintainanddistributecurrentcontractplans,timelines,andspecifications. Usemeetings,calendaring,andworkflowcoordinationtomeetdeadlines. Maintainprojectfilesanddrawingsorganizedwithincompanysoftwareorprograms(e.g.,WorkCenter,Egnyte,Procore). MaintaintheWork-in-Progress(WIP)reportandcommunicationlog. Documentation Documenttheprogressofconstruction,demolition,rehabilitation,alteration,addition,orrepairprojects. Logphotographs,dailyprojectreports,andnotesasrequired. Documentvirtualoronsitemeetingsandphonecallswithclients,adjusters,consultants,orprojectstakeholders. Logandreviewsubmittalsforconformancetoplansandspecifications. Uponprojectcompletion,reviewandupdatefiledocumentationandperformprojectclose-out. Contracting Ensureallsubcontractorsandtemporarylaborareworkingunderproperagreements(e.g.,viaPurchaseOrders). Signupnewsubcontractorsandmaintaincurrentinsuranceandlicensing. IssuepurchaseordersbasedonprojectbudgetandvalidatecompletedPOdocumentation. Createrepairagreementsforclientdistributionandexecution. Ordermaterialsandsuppliesasneededandupdatebudgets. Billing Coordinatewiththeaccountingdepartmenttoprogressbilltheprojectpertherepairagreementpaymentterms. Managecollectionsactivities. Permitting Assistinobtainingpermitsspecifictotheprojectandensurecorrectproceduresarefollowedwithlocalmunicipalities. Coordinatewithexternalarchitects,engineers,andpermitexpeditorstoobtainbuildingpermits. Scheduleinspectionswithbuildingdepartments. POSITION REQUIREMENTS Highschooldiploma/GEDrequired;Associate'sorBachelor'sdegreepreferred. Aminimumoftwoyearsofbusiness,construction,orreconstructionexperience. ProficientinMicrosoftOffice,includingExcelandMicrosoftProject. Workingknowledgeofcurrentbusinessandprojectsoftwaretechnologies. Excellentwrittenandverbalcommunicationandcustomerserviceskills,withaproactive,can-doattitude. Comfortableworkingwithambiguityandabletojugglemultipleprojectsandpriorities. Honestandtransparent;escalatesissuescalmlyandhelpssolvethem. Teamplayerwillingtohelpwhereverneeded—notaskistoobigortoosmall. Priorexperienceinreconstructionrequired. Mustbeabletoworkinpersonatouroffice5daysperweekandabletotraveltojobsites,asneeded. MustbeauthorizedtoworklawfullyintheUnitedStatesandabletosuccessfullycompleteabackgroundchecksubjecttoapplicablelaw. PHYSICAL DEMANDS Primarilyoffice-basedworkinaclimate-controlledenvironment,withtraveltojobsites,asneeded. Prolongedperiodsofsittingatadeskandworkingonacomputer. Frequentuseofhandsandfingersfortyping,writing,andhandlingdocuments. Frequenttalkingandhearingforphoneandin-personcommunication. Closevisualacuityforreadingdocuments,plans,andcomputerscreens. Occasionalstanding,walking,bending,reaching,andfiling. Periodicwalkingofactivejobsites,whichmayincludeunevensurfaces,stairs,andexposuretodustandnoise.
