Senior Executive Administrative Specialist II

We are actively seeking a Senior Executive Administrative Specialist II based in our Newport Beach, CA office. The Senior Executive Administrative Specialist II will be responsible for a broad range of administrative and technical duties in support of Pacific Life Investments (PLI) and Institutional Capital Markets (ICM), serving as the primary administrative support for the Head of ICM, PLI’s Chief Financial Officer, and other senior staff. Responsibilities Calendar management using Microsoft Outlook, including flexibility for last‑minute changes and urgent meeting requests. Coordinate conference/meeting room set‑up, order catering, and make logistical arrangements; ensure audio/video equipment functions properly before meetings. Use Concur to arrange and maintain travel plans and itineraries. Use Concur to assist with timely submission of expense reports and appropriate follow‑up work. Process invoices from external parties. Screen and handle telephone calls. Maintain office supplies. Support ad‑hoc administrative projects and general administrative duties as needed. Qualifications 5+ years of administrative experience supporting senior‑level executives or performing general administrative support. Proficiency with Microsoft Office 360 applications (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat. Approachable, professional, self‑motivated individual with a positive can‑do attitude. Ability to make independent decisions regarding planning, organizing, and scheduling work. Exceptional organizational skills, prioritization, and multi‑tasking ability; quick adaptation to changes. Excellent problem‑solving and administrative skills for complex situations. Ability to resolve conflicts involving specific administrative responsibilities. Highly detail‑oriented and uses sound judgment. Excellent oral and written communication, with ability to work with all organization levels and coordinate inter‑departmentally. Maintain a calm, diplomatic manner. Occasional overtime as required. Base Pay Range: $40.81 - $49.87 (Additional incentive pay may apply).
