Administrative Assistant / Office Operations Coordinator

Location: Downtown Chicago

Employment Type: Full-time

We are a fast-growing company operating across financial trading, market research, and international business trading. We are looking for a highly organized and proactive Administrative Assistant / Office Operations Coordinator to support daily office operations and help maintain an efficient working environment for our U.S. team.

Responsibilities

1.Coordinate and manage daily office operations, including supplies, vendor communication, mail handling, and workspace organization

2.Support scheduling, meeting coordination, travel arrangements, and team logistics

3.Assist with administrative processes involving banks, service providers, building management, and external partners

4.Help organize internal events, onboarding activities, and business meetings

5.Maintain records, documents, and operational workflows with strong attention to detail

6.Provide cross-functional support to operations, HR, and management teams as needed

7.Facilitate communication between internal teams and external stakeholders

8.Handle ad hoc administrative and operational tasks in a fast-paced environment

Qualifications

1.Bachelors degree required, Master's degree preferred

2.Previous experience in administrative support, office operations, executive assistance, or related roles is a plus

3.Strong organizational and multitasking abilities

4.Professional communication skills and ability to work with different stakeholders

5.Comfortable working in a dynamic and fast-changing environment

6.Detail-oriented, proactive, and capable of handling confidential information professionally

7.Proficiency in Microsoft Office / Google Workspace and general office tools

8.Ability to work independently while also collaborating effectively with a team

Preferred

1.Experience supporting financial services, trading, technology, or international business teams

2.Familiarity with office coordination, scheduling, and vendor management

3.Experience working in multicultural or cross-border business environments
