Customer and Sales Support Coordinator

$20-$22/ hr

Position Summary

We are seeking a highly organized and customer-focused  Customer and Sales Support Coordinator to support our window and door sales operation. This is primarily an  in-office, desk-based position that works closely with our sales representatives, customers, vendors, and internal operations team to ensure orders are processed accurately and customers receive timely, professional service.

The ideal candidate is detail-oriented, comfortable communicating with customers, proficient with Microsoft Office, and able to manage multiple orders and priorities at the same time. This person will play an important role in keeping the sales and ordering process organized from purchase order through order confirmation and delivery.

Key Responsibilities

Sales Support

• Work closely with sales representatives to support the day-to-day sales and order process.
• Assist sales representatives with order entry, documentation, product information, and customer requests.
• Maintain organized and accurate records for customer orders and sales activity.
• Communicate order updates, changes, and potential issues to the appropriate sales representative.
• Help ensure sales representatives have the information and documentation needed to effectively serve their customers.
• Follow up on outstanding items to keep orders moving through the process.

Customer Service

• Communicate professionally with customers by phone, email, and in person.
• Assist customers with order status, scheduling questions, documentation, and general product or order inquiries.
• Provide timely and accurate information while maintaining a positive customer experience.
• Direct technical, sales, or installation-related questions to the appropriate team member when necessary.
• Help resolve order issues by coordinating communication between customers, sales representatives, vendors, and internal departments.

Order Coordination

• Help manage orders from initial processing through confirmation and fulfillment.
• Monitor open orders and proactively identify missing information, delays, or discrepancies.
• Coordinate with sales, purchasing, warehouse, delivery, and installation personnel as needed.
• Maintain accurate customer and order information within company systems.
• Help ensure products and materials are ordered correctly and available when needed.
• Communicate changes in product availability, lead times, or delivery expectations to the appropriate team members.

Administrative & Office Support

• Utilize  Microsoft Outlook, Excel, Word, and other Microsoft Office applications for daily communication, documentation, tracking, and reporting.
• Maintain organized electronic files and records.
• Prepare spreadsheets, reports, order documentation, and other materials as needed.
• Manage multiple priorities, emails, customer requests, and deadlines throughout the day.
• Provide general administrative support to the sales and operations teams as needed.

Qualifications

• Previous experience in  customer service, sales support, order processing, purchasing, office administration, or a related position preferred.
• Experience in the  window and door, building materials, construction, distribution, or home improvement industry is a plus.
• Strong customer service and interpersonal skills.
• Comfortable communicating with customers by phone, email, and in person.
• Strong organizational skills with excellent attention to detail.
• Ability to accurately review purchase orders, order confirmations, pricing, quantities, and product specifications.
• Comfortable working with numbers and detailed product information.
• Ability to manage multiple orders and priorities simultaneously.
• Strong written and verbal communication skills.
• Proficiency with  Microsoft Office, including Outlook, Excel, and Word .
• Comfortable learning new order-entry, CRM, ERP, or business software.
• Ability to work independently while also collaborating closely with sales representatives and other departments.

Ideal Candidate

The ideal Customer and Sales Support Coordinator is someone who  enjoys being organized and keeping things moving . They are comfortable working at a desk for most of the day but also enjoy interacting with customers and coworkers.

They pay close attention to details and understand that a small error on a window or door order can become a significant problem once the product is manufactured. They are comfortable asking questions, following up with vendors and sales representatives, and taking ownership of their responsibilities.

This person should be able to shift between helping a customer, reviewing an order confirmation, responding to a salesperson, updating a spreadsheet, and following up on an outstanding purchase order while remaining organized and professional.
