Job Description

The University of Missouri Department of Athletics is seeking a highly organized, strategic, and service-oriented professional to serve as the Executive Coordinator. Reporting to the Director of Athletics, this position provides executive-level strategic, operational, and organizational support to the Director of Athletics while overseeing the day-to-day operations of the Executive Office and promoting the Mizzou Athletics vision and core values.

The Executive Coordinator will serve as a trusted advisor and key member of the team, coordinating strategic initiatives, executive communications, cross-functional collaboration, and organizational priorities. This position serves as the primary point of coordination between the Director of Athletics, campus, the Southeastern Conference, the NCAA, and external stakeholders to ensure effective execution of departmental priorities and exceptional customer service.

Key Responsibilities

1. Executive Leadership and Office Administration (30%)
• Serve as the primary administrator for the Office of the Director of Athletics and working alongside them to assist with executive leadership, planning, and operations.
• Manage the Director of Athletics' calendar, scheduling priorities, meetings, travel, speaking engagements, and departmental events.
• Prepare daily schedules, briefing materials, meeting agendas, presentations, correspondence, and executive reports.
• Coordinate executive office operations and provide administrative support to members of the executive team to ensure efficient workflow, alignment, and execution of departmental priorities.
• Maintain the highest level of confidentiality while handling sensitive personnel, financial, and strategic information.

2. Strategic Initiatives and Executive Communications (25%)
• Support and coordinate strategic initiatives on behalf of the Director of Athletics.
• Track departmental priorities, monitor project progress, and facilitate follow-up with senior staff.
• Draft, edit, and coordinate executive correspondence, speeches, presentations, and communications.
• Monitor and manage the Director of Athletics' public email account and other assigned communication platforms.
• Coordinate internal and external communications and outreach on behalf of the Director of Athletics.

3. Leadership Coordination and External Relations (20%)
• Serve as the primary liaison between the Office of the Director of Athletics and University leadership, campus departments, the SEC, NCAA, and external organizations.
• Schedule and facilitate leadership meetings, maintain agendas, document action items, and monitor follow-up assignments.
• Coordinate donor, alumni, VIP, corporate partner, and campus leadership engagements involving the Director of Athletics.
• Foster productive relationships with internal and external stakeholders while promoting departmental objectives.
• Represent the Office of the Director of Athletics with professionalism, discretion, and exceptional customer service.

4. Game Operations and Special Projects (15%)
• Coordinate and facilitate game day schedules, logistics, hospitality, and operational responsibilities for the Director of Athletics.
• Support planning and execution of special events hosted by or involving the Director of Athletics.
• Organize executive involvement in NCAA, SEC, University, and community events.

5. Office Operations and Administrative Support (10%)
• Maintain executive office records, filing systems, and organizational documentation.
• Develop and maintain administrative procedures that improve operational efficiency.
• Support budget tracking and administrative reporting for the Office of the Director of Athletics.
• Reconcile and process business expenses and reimbursements for the Director of Athletics.
• Perform other duties as assigned.

Shift

Monday-Friday 8:00am-5:00pm; Nights and Weekends as required by events.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Prior Administrative Office experience and/or Collegiate Athletics experience is preferred.

Anticipated Hiring Range

Salary Range: $68,000 - $80,000 per year

Grade: GGS 010
