Seasonal Administrative Assistant

Greentech Manufacturing Inc. is seeking a qualified candidate for a Seasonal Receptionist & Administrative Assistant.

This is a permanent position with a recurring seasonal schedule. During our busy heating season, you'll work a full-time schedule while serving as the first point of contact for our customers, dealers, and vendors. During our slower summer months (May – August), hours are significantly reduced or unavailable, allowing you to enjoy an extended seasonal summer break each year.

Responsibilities

• Professionally answer and direct incoming telephone calls 

• Welcome customers, dealers, vendors, and visitors 

• Provide excellent customer service 

• Assist customers, dealers, vendors with general questions and route calls appropriately 

• Process incoming and outgoing mail and packages 

• Maintain office supplies and reception area 

• Scan, file, and organize company documents 

• Assist with data entry and administrative projects 

• Support accounting, sales, warranty, HR, and other departments with administrative tasks 

• Schedule appointments and coordinate meetings 

• Perform general office duties to help keep daily operations running smoothly

• Cleaning, which includes administrative assistants’ office, entrance area, and occasionally checking on bathrooms to ensure they are clean and tidyThis is not intended to be a full list of duties. Required Skills: The candidate must have a strong work ethic, be dependable, organized and able to multi-task, have excellent time management skills, as well as strong written and oral communication skills, the ability to work well with others, be computer literate and have good typing skills, accurate and attentive to detail, and be a problem solver. The candidate must be efficient in Word and Excel. 

Education: High School Diploma or GED. Previous office experience preferred but not required.

Hours for this position are 40 hours per week during our busy season (generally September through April). During the off-season (typically May through August), hours may be significantly reduced or unavailable based on business needs. This is a permanent position with an anticipated return to full-time hours each heating season based on business needs and satisfactory performance. Salary based upon experience.

Greentech Manufacturing Inc. is seeking a qualified candidate for an Administrative Assistant. 

Greentech Manufacturing, Inc. manufactures Crown Royal Stoves, a line of outdoor furnaces and automated biomass boilers that are used to heat homes and businesses. We also provide a full line of plumbing and heating products.

Administrative Assistant Job Duties:

• Greeting visitors, getting them the appropriate help.  

• Answer a multiple line phone system, direct phone calls, check voicemails & e-mails daily. 

• Create and maintain filing systems, both electronic and physical. 

• Process shipments for incoming and outgoing freight. 

• Customer Service

• Accounts Receivable (Process orders, Invoice, Collections).  

• Update and maintain accuracy for all dealer account files. 

• Assemble informational packets for mailing. 

• Prepare communications such as emails and other correspondence professionally using proper spelling and grammar. 

• Type, edit, and proofread documents. 

• Order office supplies. 

• Maintain new & existing excel and word documents. 

• Utilize Excel to produce high quality reports.

• Distribute incoming mail. 

• Demonstrate initiative by proactively identifying and transitioning to the next priority or task without direction.

• Coordinate travel arrangements and dealer visits. 

• Clean when needed.
