This position is responsible for processing releases of information (ROI) specifically medical record requests in a timely and efficient manner, ensuring accuracy and providing customers with the highest quality product and customer service. The Associate must safeguard and protect the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s medical information and that all releases of information are in compliance with the request, authorization, company policy, and HIPAA regulations. This is an intermediate level position with at least one year of related HIM experience and requires 75% or more travel. Position Highlights Full Time: Monday‑Friday 8:00‑4:30 pm EST Location: Supporting multiple locations – Lutz, Carrollwood, Northdale, Odessa, New Tampa, Wesley Chapel, Brandon in Florida Processing medical records and handling calls from patients, insurance companies, and attorneys to provide medical record status Documenting information on multiple platforms using dual computer monitors Preferred Customer Service and Data Entry with Release of Information experience Full Benefits: PTO, Health, Vision, and Dental Insurance, 401(k) savings plan with matching contributions, and tuition reimbursement You Will Receive and process requests for patient health information in accordance with company and facility policies and procedures. Maintain confidentiality and security with all privileged information. Maintain working knowledge of company and facility software. Adhere to the company’s and customer facilities’ code of conduct and policies. Inform manager of workload, site difficulties, and/or fluctuating volumes. Assist with additional work duties or responsibilities as required. Consistently apply medical privacy regulations to guard against unauthorized disclosure. Manage patient health records and safeguard them in compliance with HIPAA standards. Prepare new patient charts, gathering documents and information from paper sources and/or electronic health record. Ensure medical records are assembled in standard order and are accurate and complete. Create digital images of paperwork to be stored in the electronic medical record. Respond to requests for patient records, both within the facility and from external sources, retrieving and transmitting them appropriately. Answer inbound and outbound calls. Assist with patient walk‑ins, administrative duties such as handling faxes, opening mail, and data entry. Schedule pick‑ups. Assist with training associates in the HIS I position. Generate reports for manager or facility as directed. Exceed level 1 productivity expectations as outlined at specific sites. Participate in project teams and committees to advance operational strategies and initiatives as needed. Act in a lead role with staff regarding general questions and assist with new hire and developmental training. Other duties as assigned. What You Will Bring To The Table High School Diploma or GED. Age 18 or older. Ability to travel locally/regional at least 75% of the time and commute between locations as needed. Ability to work overtime during peak seasons when required. One year of health information related experience. Meet and/or exceed company’s productivity standards. Basic computer proficiency and comfortable utilizing phones, fax machine, printers, and other general office equipment. Professional verbal and written communication skills in English. Detail‑ and quality‑oriented regarding accurate and compliant medical records. Strong data entry skills. Work independently with minimal supervision while responding to changing priorities and role needs. Organize and manage multiple tasks efficiently. Respond to requests in a fast‑paced environment. Bonus Points If Previous production/metric‑based work experience. In‑person customer service experience. Ability to build relationships with on‑site clients and customers. Comfortable bringing new ideas, process improvement suggestions, and feedback to internal stakeholders.
