Position Description:

The Transfer Credit Coordinator functions as the central operational lead for CCS's transfer credit evaluation (TCE) process, ensuring that the college's transfer practices are accurate, efficient, and consistent with institutional policies. This position serves as a critical link between academic departments and student-facing enrollment offices, overseeing the integrity of credit placement and database management. The Coordinator supports the Director of Transfer and Academic Partnerships in advancing institutional enrollment and retention initiatives; refining evaluation workflows, and optimizing technology and systems to facilitate a seamless transition for students with transfer credits. This is a systems-focused role that emphasizes process stewardship, data accuracy, and collaborative problem-solving across the college community.

Position Accountabilities and Essential Functions:

• Process college transcripts through DegreeSight, validating AI-generated equivalency recommendations and initiating review of courses for which no established equivalency exists.
• Coordinate with Admissions Counselors and Academic Advisors to facilitate the collection, organization, and assessment of syllabi and/or work samples when required to determine course equivalency.
• Monitor evaluation tasks to maintain turnaround time standards; flag volume spikes, bottlenecks, and user or system issues.
• Oversee and guide students pursuing credit through Prior Learning Assessment.
• Coordinate the development of an archive of studio course credit awarded by faculty to support transfer pathway development and consistent application of external credit with key partner institutions.
• Exercise independent decision-making authority for General Education and Foundation courses with established equivalency benchmarks and for all MTA-designated coursework.
• Assist the Director of Transfer and Academic Partnerships with course equivalency updates as needed.
• Assist in mapping existing articulation agreements and equivalency tables into DegreeSight.
• Serve as the process anchor across Admissions, Academic Advising and Registration, and Department Chairs, maintaining clear communication, documentation and status tracking.
• Provide timely updates on approved, denied, and pending credit evaluation status and outcomes to the Associate Registrar, Admissions Counselors, and Academic Advisors.
• Participate in occasional evening and/or weekend events as needed to provide on-site TCEs.
• Identify workflow gaps during the implementation phase and recommend process solutions.
• Generate regular reports on evaluation volume, turnaround times, AI accuracy rates, and override frequency.
• Help identify patterns in data that indicate potential partner institutions or needed updates to the evaluation process or.
• Support audit documentation and accreditation-related records pertaining to transfer credit policy.
• Participation in internal and external Committees and Associations as required.

Qualifications and Experience:

• Bachelor's degree required.
• High degree of comfort working with data, process documentation, and workflow tracking tools.
• Two or more years of experience in Transfer Admissions or Transfer Student Advising in a higher education setting. Familiarity with the Michigan Transfer Agreement, Michigan community college articulation landscape, or MACRAO frameworks preferred.
• Demonstrated experience with customer resource management (CRM), Enterprise Resource Planning (ERP) or student information systems (SIS). Colleague, TargetX (Salesforce) preferred.
• Experience supporting or participating in a technology implementation project in a higher education setting.
• Excellent organizational and project management skills with the ability to manage multiple concurrent workflows.
• Strong written communication and critical thinking skills; able to translate policy and process for different audiences, including faculty, staff, and students.
• Background in or working knowledge of fine arts, design, or a related creative discipline preferred.

Work Environment:

This job operates in a professional office and college campus environment. The noise level in the work environment is usually moderate. The employee is occasionally exposed to outside weather conditions.

While performing the duties of this Job, the employee is regularly required to maintain a stationary position, use a computer and other office equipment, and communicate effectively in person, by phone, and virtually. Frequent interaction with others, including staff, faculty, students and third parties is required. The employee may occasionally be required to move files or other objects weighing up to 25 pounds, including from low and high places. The ability to move around within the office and between buildings on campus, attend off-site meetings and events, and travel between Ford Campus site to Taubman Center site are required.
