Sr Coord, Admin - State Compliance

Sr Coordinator – State Compliance Otis Elevator Company seeks a qualified Sr Coordinator – State Compliance based in San Francisco, CA. The successful candidate will perform a wide range of administrative functions requiring problem‑solving skills under minimal direction, be a team player, and handle sensitive information with composure under pressure. Responsibilities Full responsibility for high‑volume State Preliminary Order process, including logging and processing state paperwork, coding contract‑covered work versus owner’s work, providing proposals to customers, and ensuring signed proposals are returned in a timely manner. Coordinate completion of all contract‑covered and non‑contract‑covered work with mechanics, requesting assistance from Service Managers when needed. Follow up with customers on all work items and provide timely updates. Troubleshoot delays to ensure 100% compliance by the deadline on the Preliminary Order. Communicate with the State and manage paperwork; timely compliance communication before submission deadlines. Other Administrative Duties (As Needed) Answer phones Filing Sort and distribute incoming mail Provide administrative support to branch sales and operations staff as requested Education Bachelor’s Degree preferred Experience / Qualifications Excellent computer skills, proficient in Microsoft Office (Word, Outlook, Excel) and aptitude to learn company‑specific software such as SharePoint, Microsoft Dynamics CRM, LINX, mainframe, JDE. Exceptional written and verbal communication skills; detail‑oriented and organized. Proficiency in planning, organizing, prioritizing, and multi‑tasking. Self‑reliant with initiative, good judgment, ability to handle sensitive and confidential information. Strong time‑management skills and ability to work independently in a fast‑paced, team‑oriented environment. Salary range: $75,000 – $95,000.
