Administrative Lead

Location: United States - Missouri - St. Louis - Chesterfield Role Summary The Administrative Lead is an independent professional who provides high‑quality support to senior leadership, contributing to business results and process improvement. Responsibilities Provide comprehensive administrative support to the Head of BTxPS and other senior leaders (calendar management, record handling, email response, meeting scheduling, and conference room booking). Use independent judgment to make decisions on complex, non‑routine issues and manage own priorities. Use in‑depth knowledge of Pfizer’s organization structure to support leadership and coordinate cross‑functional tasks. Gather information from across Pfizer and proactively identify, anticipate, and resolve issues, including urgent problems; establish strategic relationships with key individuals inside and outside Pfizer. Collaborate with the Chief of Staff on Leadership Team agendas and events, invite stakeholders, create agendas, schedule meetings, and issue minutes. Maintain detailed and flexible execution of tasks, organize documents, manage distribution lists, support travel plans and expense reporting. Demonstrate expert knowledge of office procedures, e‑mail etiquette, office software and Pfizer‑specific processes (PT&E, ARIBA, BT on Demand). Proficient in SharePoint, Teleconference Services, Get Service, Get Access. Balance tasks, activities and priorities for self and others. Coordinate complex projects utilizing the Pfizer network and in‑depth understanding of division operations, customers, and priorities. Basic Qualifications High School Diploma or GED with at least 10 years of experience. Excellent attention to detail and interpersonal skills. Ability to handle confidential documents and information. Strong organizational, communication and collaboration skills. Ability to perform all office functions efficiently and on time. Highly flexible and able to multi‑task; willing to work extended hours for special events. Preferred Qualifications Experience as an Administrative Assistant supporting executive leadership in a global organization. Knowledge of the pharmaceutical industry and healthcare environment. Strong organizational, multi‑tasking and planning skills. Proactive approach with ability to initiate follow‑up actions. Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word); experience with Teams and SharePoint. Experience using AI tools such as Microsoft Copilot to support problem solving and enhance productivity; understanding of responsible AI practices. Physical/Mental Requirements Light lifting, extensive walking, and extensive computer use. Travel / Work Schedule Some travel required. Hybrid role: live within commuting distance and work on‑site an average of 2.5 days per week or more as needed. Additional Information Last day to apply: June 12, 2026. Salary ranges $29.99 to $49.99 per hour (hourly). Additional pay premiums possible. Benefits include 401(k) with matching contributions, paid vacation, holiday and personal days, caregiver leave, and medical, dental, vision coverage. Relocation assistance may be available based on business needs. Candidates must be authorized to be employed in the U.S. and cannot receive U.S. work visa sponsorship.
