Legal Project Administrator, Grants/Impact Investing (MF) Posted on August 19, 2019 The Office of the General Counsel provides insight, advice and counsel to the Foundation’s President, staff and Board on a wide variety of legal, policy, and governance matters. The Legal Project Administrator, Grants/Impact Investing (LPAGI), primarily supports the Office of the General Counsel in its responsibility for preparing and overseeing the grant agreements and legal documentation relating to impact investments, and the timely, accurate, and efficient administration of such documents in the Legal Department. Job Description Essential Duties and Responsibilities Actively assist in the management of individual portfolio of grants and impact investments Administer and manage grants, impact investments, and related documents through the workflow in the Legal Department Primarily responsible for preparing drafts of agreements and working with lawyers and paralegal in editing, finalizing, and amending legal documents, including grant agreements, loan agreements, promissory notes, opinions, closing/settlement statements, U.S. source income correspondence, regrant report forms, etc. Review files to collect data for the agreement templates and highlights potential questions or missing information; determine if special language is needed for templates Assist with tax coding Grants Management System (GMS) organizations Confirm that all necessary data is flagged/noted in GMS for special treatment, such as regrants, special payment language, human subjects research, U.S. source income, OFAC licenses, etc. Follow up as requested or necessary with Big Bet, Enduring Commitments, Impact Investment, and Grants Management team members and others on open items; attend relevant team meetings Work with lawyers and paralegal as necessary to ensure timely and accurate final content Perform final review and release of grant agreements in GMS Track work to ensure timely completion of responsibilities Assist with the timely review and compilation of grantee affidavits Assist with collecting names to check against anti‑terrorist financing lists Act as a department resource in the tracking, handling, and processing of grants and impact investments in GMS Contribute ideas for the accurate, efficient, and timely processing of work Support legal team, as needed, with the preparation, editing, and finalizing of consultant agreements, leases, and other documents Manage and facilitate legal meetings connected with assigned grant portfolios Provide administrative support for lawyers with respect to assigned areas of work Perform other job‑related duties as assigned Qualifications A bachelor’s degree is preferred with at least three years of experience in a supporting legal role; philanthropic/nonprofit setting a plus Five years of experience in a legal setting drafting, proofreading, editing, and finalizing corporate legal documents; familiarity with electronic workflow processing is strongly preferred Fluent in working with document management/tracking databases (e.g., reading online; identifying, collecting, searching, and retrieving data; and entering data) Proficiency in Microsoft Word and working knowledge of other Microsoft Office Suite and Adobe products Superb proofreader.
