Event Coordinator

The Event Coordinator supports the planning, coordination, and execution of Exit Planning Institute's conferences, educational programs, meetings, and special events. Reporting to the Senior Event Manager within the Marketing Department, this position provides support throughout the event planning process, helping ensure every event reflects EPI's commitment to delivering world-class experiences for internal and external audiences. As the Events function continues to grow at EPI, the Event Coordinator will play a key role in building scalable processes and supporting the evolution of EPI’s event planning capabilities. In addition to supporting event execution, the Event Coordinator will assist in developing documentation, standard operating procedures, templates, and planning resources that improve consistency and support future growth. This position is ideal for an early-career event professional who is organized, detail-oriented, passionate about creating exceptional event experiences, and eager to learn and develop their skills while contributing to a collaborative and growing Events team. Working closely with the Senior Event Manager, the Event Coordinator will initially support all aspects of event planning while progressively taking on greater responsibility as knowledge, confidence, and experience grow. Key Responsibilities and Duties Support the planning and execution of conferences, educational programs, meetings, and special events from concept through post-event evaluation Assist with all aspects of event planning and logistics to help ensure projects remain organized and on schedule Coordinate speaker and sponsor communications and logistics regarding presentation materials, biographies, headshots, travel information, deadlines, session and event logistics, and event expectations Respond to attendee questions regarding registration, accommodations, schedules, and event logistics in a professional and timely manner Assist in preparing and distributing attendee communications before, during, and after events Prepare event materials, including agendas, name badges, signage, registration materials, presentation resources, attendee packets, and other onsite materials Assist with venue logistics, including room layouts, audiovisual requirements, food and beverage details, transportation, shipping, event supplies, and onsite operational needs Coordinate approved purchases for event materials and maintain event inventory Assist with budget tracking, registration reporting, survey analysis, and post-event reporting Travel to events as needed and provide on-site support, including registration, speaker preparation, room setup, signage placement, attendee assistance, and general event operations Represent EPI professionally while providing a high level of service to attendees, speakers, sponsors, partners, vendors, and internal teams Create and maintain event documentation, including standard operating procedures, planning guides, templates, timelines, checklists, and other planning resources Identify opportunities to improve planning processes, increase efficiency, and strengthen the attendee experience Participate in post-event debriefs by documenting lessons learned and recommendations for future events Build positive working relationships across departments and collaborate with internal teams to support EPI's growing portfolio of events Contribute to additional initiatives that support the continued growth and success of EPI's Events function Position Qualifications and Skills Bachelor's degree in Event Management, Hospitality, Marketing, Communications, Business, or a related field, or equivalent professional experience One to three years of experience in event coordination, hospitality, marketing, project coordination, customer service, administrative support, or a related field Experience supporting conferences, meetings, educational programs, or other events is preferred Excellent organizational and time management skills with the ability to manage multiple projects simultaneously Strong written, verbal, and interpersonal communication skills with the ability to communicate professionally with a variety of internal and external stakeholders Exceptional attention to detail and a commitment to accuracy and delivering high-quality work Ability to build positive working relationships and provide a high level of customer service Ability to work independently while collaborating effectively as part of a team Strong problem-solving skills with the ability to adapt in a fast-paced environment Demonstrated initiative, accountability, and a willingness to learn new skills and take on increasing responsibility over time Ability to anticipate needs, follow through on assigned tasks, and manage responsibilities with minimal oversight Commitment to continuous improvement and identifying opportunities to improve processes and efficiencies Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint Working knowledge of and experience using CRM Systems, particularly HubSpot, is preferred Experience using Canva and Adobe Creative Cloud (including Acrobat, InDesign, Photoshop, or Illustrator) is a bonus Ability to lift and transport event materials as needed Ability to travel as business needs require Other Position Information Hours: Monday – Friday 8am – 5pm Monday, Tuesday, and Wednesday in office, Thursday and Friday optional work from home This is a hybrid, full-time position *This is subject to change Upon 90-day review Enroll in the EPI Insurance Program (Health, Vision, and Dental all available) Utilize EPI’s Full Work from Home Policy #J-18808-Ljbffr
