Job description: This is a full time year‑round position Monday to Friday, 40 hours per week. This position is responsible for multiple functions within the finance and administrative office, working closely with the Guest Booking Admin, Payroll Admin, and CFO. AP & AR Administration Responsibilities Include: Managing accounts payable process, from effective communication with vendors, to entry and coding of invoices, to production of vendor payment. Ensuring verification and approval of payables invoices is completed in a thorough and timely manner to facilitate biweekly payables runs. Preparing reconciliations of credit cards and clearing accounts. Maintaining highly organized electronic filing system for paid and unpaid invoices. Reconciling and recording booking data from reservations booking software into account software on a daily basis. Regularly reviewing and reconciling any variances between the two systems. Assisting in the compilation of documents and reconciliation of bank, visa, clearing, receivables and inventory accounts, for month end and year end reporting purposes. Providing back‑up to the Guest Booking Administrator by answering general phone inquiries when support is needed. Assisting the Payroll Administrator with bi‑weekly payroll processing. Assisting with creating, issuing, and tracking employee contracts and employment packages. Supporting the efficient running of the office sharing in the duties of stocking office supplies, paper stock, ink, etc. Assisting and supporting the lodge with ad‑hoc errands from time to time. Retail Administration Responsibilities Include: Stay informed of new brands and trends, and attend the ASRA Winter Show in Calgary bi‑annually or as needed. Prepare a retail purchasing document to map out each department's purchases and inventory value, and pre‑book orders for the following season prior to deadlines to capture discounts. Liaise with the lodge on stock levels throughout the season to refill as needed. Prepare a merchandising schematic to ensure products chosen will display together well, and set up retail at the lodge in fall. Work with a designer to come up with custom graphics, and manage graphic assets to pull from in future years. Create and implement ordering procedures, and ensure ending inventory is controlled with clearance strategies such as the Local Sale. Location: This position will be primarily based at our office in Golden, BC with the occasional day requiring work to be performed at the Chatter Creek heliport in Donald, BC (just 20 minutes west of Golden, BC). Experience & Requirements: Prior bookkeeping experience, and/or accounting or bookkeeping diploma is preferred. Strong interpersonal skills, organizational skills, and accounting math skills required. Experience working in QuickBooks or other accounting software, MS Office suite, Outlook, and Google Docs required. Valid driver’s license & access to a vehicle preferred. Guest service and previous heli or catski lodge experiences is an asset. Compensation: The starting pay rate offered for this role will be based on the individual candidate’s experience level. The pay range for this role will be variable based on the individual’s ability to successfully manage additional responsibilities.
