Account Coordinator

The Planet Group is seeking a Account Coordinator to join one of our well-known global pharmaceutical clients. Pay: $20-25.94/hr depending on experience Location: Hybrid in Irvine, CA (T-TR onsite)Account Coordinator Responsibilities:Manage the day-to-day details of Clients' projects, from initiation to completion on time and within budget with minimal supervisionKeep Supervisor advised of up-to-date details of projectsUnderstand the details and relevance of all jobs in order to communicate effectively with all Agency personnel to ensure assigned projects are correctly executed on time and within budgetTroubleshoot to ensure schedules are metAssure that all Agency paperwork, estimates, billing, and timelines are correctly completed and filedManage delegated projects from start to finish with minimal Supervisor supervisionPrepare projects for submission to Client and Medical/Regulatory regarding references and other supporting documentationCoordinate with Client and Medical/Regulatory regarding cycling and approval of projectsReview Client and Medical/Regulatory changes with Supervisor to determine actionInterface with Client regarding deliveries, scheduling, project estimates and other miscellaneous issuesAssist Supervisor in providing input for Creative Team and participates in creative development sessionsHandle projects and monitor expenditures for assigned Client projectsDevelop timely and accurate project estimates with input from Traffic, Creative, Production and other Agency DepartmentsSupply Clients with accurate, timely reports (Tactical Calendars) of budgeted versus actual expendituresProvide budget guidelines to Creative and Production Teams on assigned projectsWork with Traffic/Project manager and Creative team to control costs and stay within budgetResponsible for the initiation and maintenance of all documentation required for effective account managementGather all pertinent information and develops complete and accurate project requisitionsCreate, update, and distribute Client and Agency status reports on a regular basis in accordance with account needsWrite and distribute detailed conference reports for Client and Agency meetings on a timely basisCreate other documents in accordance with account needsAssist Supervisor with administrative work such as opening jobs, reports, archiving, and organizing filesAccount Coordinator Qualifications:Experience and education equivalent to a B.A.3-5 years professional experience in finance, advertising or a service business disciplineAbility to prioritize, review the work of others and work in a fast-paced, rapidly changing environmentSpecial project handling and multi-taskingExcellent interpersonal and communication skills, both written and oralMust be a self-starterAbility to work independently and exercise sound judgement and discretion in the handling of sensitive confidential mattersWell-versed computer skills in business applicationsExhibit potential for continued career growthUnderstanding of the client's businesses, culture, and financial processes
