MARKETING COORDINATOR Full-Time | California: Livermore, Redwood City, or Irvine | $60,000-$85,000

We're looking for a Marketing Coordinator to support our Business Development and Marketing teams. This is a highly administrative, coordination-focused role responsible for supporting proposals, maintaining business development resources, and managing client and project data.

The ideal candidate enjoys working behind the scenes, managing details, improving processes, and supporting teams through strong organization and follow-through. You'll work closely with business development and operational teams across the company to coordinate proposals, maintain marketing and project information, manage our CRM database, oversee project photography resources, and support the systems and processes that help drive new business opportunities.

WHAT YOU'LL DO Support business development pursuits by coordinating RFPs, RFQs, proposals, qualification packages, and presentations Maintain proposal templates, team resumes, project information, and marketing resources Manage and update client, project, and contact information within our ProjectMark CRM database Coordinate project photography, drone shoots, photo requests, and photo library organization Complete industry surveys, award submissions, and business development reporting Gather, organize, and maintain information needed for client pursuits and proposal submissions Track deadlines, schedules, and deliverables for multiple projects and pursuits Maintain organized files, records, databases, and department documentation Support company events, community involvement activities, and business development initiatives Provide administrative and coordination support to the Marketing and Business Development teams

WHAT WE'RE LOOKING FOR 3-5 years of experience in an administrative, business development support, proposal coordination, marketing coordination, or project coordination role Bachelor's degree in Marketing, Business, Communications, or a related field preferred Strong written and verbal communication skills Exceptional organization and attention to detail Ability to manage multiple priorities and deadlines in a fast-paced environment Proficiency with Microsoft 365 applications Experience supporting proposal development, document production, CRM/database management, or similar administrative functions preferred Working knowledge of Adobe InDesign with the ability to update existing templates, edit content, and make simple document revisions Experience with SharePoint, Procore, ProjectMark, or similar platforms is a plus Resourceful, dependable, and collaborative with a strong customer-service mindset
