Coordinator of Administrative Services, College of Education

About Us Savannah State University established in 1890, is the first public historically black college or university in the state of Georgia and the first institution of higher learning in the city of Savannah. The university's students select majors from five colleges:
- Business Administration
- Education
- Engineering and Computing
- Media, Arts, and Communication
- Science and Humanities
- Coordinate meetings, calendars, and daily functions of the Dean's Office.
- Assist in preparing and distributing promotional materials for the College of Education
- Maintain secure and organized college files, including confidential records related to faculty hiring, evaluation, and student services.
- Provide high-level customer service by responding to phone, email, and in-person inquiries.
- Assist in preparing annual reports and compiling data for internal and external stakeholders.
- Support planning and execution of college events, workshops, and meetings.
- Review and process travel authorizations and expense reimbursements for faculty and staff.
- Track departmental budgets, monitor expenditures, and manage office supply ordering and inventory.
- Support faculty with course materials and students with program-related inquiries.
- Perform general clerical duties including data entry, recordkeeping, correspondence, and filing.
- May be required to perform job related duties other than those specifically delineated in this description.
- Bachelor's degree in Business Administration, Education, Public Administration, or a related field.
- Minimum of 2-3 years of progressively responsible administrative support experience, preferably in a higher education or professional office setting.
- Strong organizational, time management, and multitasking skills with the ability to manage multiple priorities and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office technologies.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Strong customer service and interpersonal skills with the ability to interact professionally with diverse stakeholders.
- Experience working in a college or university setting, particularly within an academic department or dean's office.
- Experience with budget tracking, procurement processes, and travel reimbursement systems.
- Familiarity with student information systems, learning management systems (e.g., D2L), or institutional data systems.
- Experience supporting event planning, workshops, or large-scale programs.
- Knowledge of university policies, procedures, and reporting requirements.
- Ability to analyze data and assist with report preparation for internal and external stakeholders.
- Modern office management practices and university operations
- Database systems, filing protocols, and document confidentiality standards
- Time management and handling multiple priorities simultaneously
- Professional communication (oral, written, and interpersonal)
- Microsoft Word, Excel, PowerPoint, Adobe Acrobat, and budget tracking tools
- Operation of standard office equipment (multi-line phone, copier, scanner, printer)
- Maintain professionalism and confidentiality in a busy office environment
- Learn and apply institutional policies and procedures quickly
- Organize workflow and adapt to changing priorities
- Communicate clearly and respectfully with students, faculty, staff, and the public
- Work cooperatively and contribute as part of a team
