We are fully integrated with supply, design, and engineering services, in addition to repair and warranty services. We have an immediate opening for a Receptionist at our Tulsa branch. Job Summary: The Receptionist position balances front-facing hospitality with administrative support. This position is responsible for welcoming visitors, coordinating meeting and event logistics, maintaining office equipment, managing calendars, and providing cross-functional support, all while maintaining a welcoming environment for visitors and staff. Duties and Responsibilities: Serves as the first point of contact for visitors. Greets and receives visitors in a professional and courteous manner, ensuring each guest is directed appropriately and feels welcomed. Manages visitor sign-in procedures, enforces building access protocols and coordinates with staff regarding expected guests. Assists with the planning and coordination of company functions, meetings, and events, including catering arrangements and preparing conference rooms and common meeting areas to ensure they are organized, stocked and ready for the event. Provide administrative support to multiple departments, including document preparation, filing, data entry and record maintenance. Maintains company and shared calendars, coordinating meeting schedules and room availability. Manage office supply inventory and order supplies as needed to support daily operations. Coordinate office services, vendor interactions, and facility-related requests. Assist with document retention and records management programs. Performs part-time billing tasks including invoice processing, basic data entry, and coordinating with accounting as needed. Manages outgoing and incoming shipments, including mail and packaging, logging, and coordination with couriers. Handles a broad range of general administrative tasks as assigned. Monitor and respond to general office inquiries. Required Skills and Previous Experience: Proficient with Microsoft Office Suite or related software. Highly organized with attention to detail. Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent time management skills with a proven ability to meet deadlines.
