We are seeking a highly organized, detail-oriented Office Manager to join our growing team. This is a dynamic, hands-on role that supports multiple departments, including Accounts Receivable, Human Resources, Finance, Sales, and Office Operations.

What You'll Do
Accounts Receivable & Finance Support
  • Apply customer payments, including checks and electronic payments, to the appropriate invoices.
  • Match incoming bank payments to open invoices and customer accounts.
  • Generate and distribute customer invoices via email and PDF.
  • Monitor customer payment schedules and upcoming due dates.
  • Follow up on past-due accounts professionally and courteously.
  • Assist with collection efforts and customer communications.
  • Enter vendor invoices to support Accounts Payable processing.
  • Provide backup support for Accounts Payable and accounting-related administrative tasks.
  • Maintain records, filing systems, and financial documentation.
Human Resources Support
  • Coordinate onboarding activities for new hires.
  • Prepare and manage onboarding paperwork and employee documentation.
  • Create and deactivate employee access cards.
  • Assist with payroll and HR-related administrative tasks.
  • Welcome candidates and new employees and provide a positive first impression.
Office Administration
  • Answer phones and greet visitors.
  • Sort, distribute, and manage incoming and outgoing mail.
  • Support weekly reporting activities and data collection.
  • Maintain customer shipping information and related records.
  • Provide administrative support across multiple departments.
  • Assist with special projects and other duties as assigned.
Sales & Operational Support
  • Update pricing information and documentation for Sales leadership.
  • Maintain accurate records and support internal business processes.
  • Collaborate with teams across the organization to ensure efficient operations.
Required Qualifications
  • Bilingual in English and Spanish with strong verbal and written communication skills.
  • Experience in Accounts Receivable, including payment application, invoicing, and collections support.
  • Strong customer service and relationship-building skills.
  • Administrative or office management experience.
  • Ability to multitask and adapt in a fast-paced environment with frequent interruptions.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficiency with standard office software and technology.
  • Professional demeanor and effective communication with employees, customers, and visitors.
Preferred Qualifications
  • Experience in a manufacturing environment.
  • HR and onboarding experience.
  • Experience supporting multiple business functions within a small or growing company.
  • Familiarity with Deacom ERP or similar ERP systems.
  • Collections experience.
  • Prior experience in office administration, accounting support, or related roles.

Job Type & Location: This is a Contract to Hire position based out of Hopkins, MN.

Pay and Benefits: The pay range for this position is $28.00 - $31.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. Benefits are subject to change and may be subject to specific elections, plan, or program terms.
