Our growing law firm is seeking a detail-oriented, compassionate Disability Paralegal to support clients through disability appeals, consultations, and ongoing claims. You will keep cases moving, gather and review important records, communicate with clients, doctors, and insurance companies, and help our attorneys stay prepared. The right person can juggle deadlines, spot details others may miss, and bring a positive, proactive, solutions-oriented mindset to the team.

Our office is in Fairfax, Virginia and the position is full-time in person. Our entire local office comes in every day and if youve been stuck working from home and miss seeing friendly faces, this is the job for you! Our office hours are 9:00 AM to 5:00 PM, Monday through Friday.

Job Duties

Appeals & Case Management Duties

• Maintain accurate, organized client files and track deadlines, requests, and follow-up tasks in the case management system.
• Request and follow up on claim files, plan documents, medical records, and other evidence needed for disability and life insurance appeals.
• Coordinate with clients and treating providers to obtain medical support, including physician letters and Attending Physician Statement forms.
• Interview clients for personal statements, incorporate their edits, and prepare final materials for attorney review.
• Prepare and submit appeals and supporting documents, confirm receipt, and ensure all materials are complete and sent on time.
• Coordinate with the Records Collection Clerk, review and organize claim files for attorney use, and assist with client check distribution as needed.

Consultation Duties

• Guide consultation clients as they gather medical records and policy documents; schedule consultations; prepare attorney memos at least 24 hours in advance; attend consultations and share notes; and create, send, and track invoices and payments.
• Serve as the point of contact after consultations, coordinate answers with the consulting attorney, and identify when a follow-up consultation should be scheduled.

Claim Management

• Manage a roster of clients with active disability claims and help them remain on claim for as long as they are eligible.
• Work with clients and medical providers to respond to insurance company investigations, claim updates, and requests for records or forms.
• Review outgoing materials for completeness and potential concerns, request written deadline extensions when needed, and elevate issues to the BGL team.
• Review incoming correspondence, keep clients informed, track monthly benefit checks, and proactively investigate and resolve delays with clients, insurers, and the bookkeeping team.

Knowledge & Basic Qualifications

• You are comfortable on the phone, both calling other people and picking up calls when they come in. Communication is important. And it's not just the phones. You need to be a person who speaks up when something is wrong. The attorneys rely on you to be the eyes and ears of the law firm.
• You are organized and pay attention to details. You're the person who keeps lists and makes sure everything moves smoothly.
• You are literate about Internet and technology, and you would be comfortable learning new systems. You need to use a case management system to track the progress of cases and report how things are going.
• You are kind. People who call our office are often having some of the worst days of their lives. We make things better for them, not worse.

Bonus Qualifications (not required, but they will put you at the top of the pile):

• Previous experience working in a law firm; paralegal certification.
• Customer service experience. You know how to make people feel glad you are on their side!
• Experience managing detailed records, deadlines, or sensitive client information in a legal, medical, insurance, benefits, or professional-services setting.
