Job Description
We are seeking an Onboarding Specialist to lead end-to-end onboarding from pre-employment through post-hire. The ideal candidate will have strong experience in I-9 compliance, HR case management, and HRIS workflows and a proven ability to deliver timely, accurate, and compliant onboarding while meeting SLAs and providing a high-quality customer experience.
Responsibilities:
Facilitate an end-to-end onboarding experience, providing clear guidance and timely support to new hires and managers.
Oversee daily I-9 activity, including Section 1 and Section 2 review, reverifications, and issue resolution within federal timelines.
Monitor and manage overdue or missing I-9 requirements and partner with stakeholders to ensure compliance.
Manage an active caseload in the Case Management System, respond to inquiries, and meet defined SLAs.
Escalate complex issues involving candidates, employees, managers, HR partners, or external vendors as needed.
Maintain current knowledge of company policies, procedures, employment eligibility regulations, and risk-based processes.
Support operational audits, documentation reviews, and compliance monitoring activities.
Protect sensitive personal and company information by upholding confidentiality standards.
Use HR platforms such as Workday and ServiceNow to manage onboarding workflows, I-9 tasks, and case documentation.
Deliver accurate, proactive communication throughout onboarding and I-9 processes to ensure a positive customer experience.
Create requests for provisioning equipment and security access, including mortgage application access, mobile email, business cards, telephones, computers, and peripherals.
Partner with retail and expansion markets to support recruiting, hiring, and new hire activations to scheduled start dates.
Provide proactive communication to managers and support teams and coordinate training enrollments, travel, and access based on start date changes.
Consult with Security and HR Recruiting to quality check onboarding connection points and address exceptions.
Connect new hires to resources, intake requests, provide guidance, and document and communicate escalations to leadership.
Required Skills & Qualifications:
1–3 years of experience in HR, onboarding, compliance, or administrative support within a regulated environment.
Working knowledge of Form I-9, including Section 1, Section 2, reverifications, and employment eligibility documentation.
Experience with Workday, ServiceNow, or similar HR information systems and case management tools.
Strong attention to detail and accuracy with the ability to manage confidential information.
Proven ability to manage multiple cases simultaneously and meet SLAs.
Exceptional communication, customer service, and problem-solving skills.
Ability to apply a risk-based approach to decision-making and issue resolution.
Proficiency with Microsoft Office and comfort navigating digital workflows.
Preferred Skills:
Experience with I-9 auditing, corrections, or E-Verify.
Prior experience supporting high-volume onboarding or HR operations.
Familiarity with federal employment eligibility laws and documentation standards.
HR certification (PHR, SPHR, SHRM-CP, SHRM-SCP) preferred.
