Required Qualifications:

  • Associate degree in Business, Accounting, Finance, or a related field preferred .
  • Minimum of two (2) years of experience in accounting, finance, benefits administration, or administrative support preferred.
  • Experience with HUD housing programs, Medicaid billing, SNAP, Social Security benefits, or similar public assistance programs preferred.
  • Experience with Sage, PrecisionCare, Millin, or comparable financial and case management systems preferred
  • Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and database software

POSITION SUMMARY

The HUD & Benefits Coordinator is responsible for coordinating housing-related administrative requirements, public benefits administration, Medicaid billing support, and individual funds management. This position ensures compliance with applicable federal, state, and agency regulations while maintaining accurate financial records and supporting fiscal accountability. The Coordinator works collaboratively with internal departments, individuals supported, families, regulatory agencies, and community partners to ensure the timely administration of benefits and housing-related requirements

ESSENTIAL RESPONSIBILITIES

HUD & Housing Compliance

  • Coordinate administrative activities related to HUD requirements for affiliated corporations.
  • Maintain HUD participant files and required documentation.
  • Assist with annual certifications, recertifications, regulatory reporting, and compliance activities.
  • Monitor regulatory deadlines and ensure timely submission of required documentation.
  • Communicate with housing agencies, property management representatives, and regulatory organizations as appropriate.
  • Support ongoing compliance with applicable HUD regulations.

Benefits Administration

  • Coordinate SNAP applications, recertifications, and other public benefit documentation.
  • Assist with Social Security benefit administration and related documentation.
  • Monitor benefit renewal timelines and ensure timely completion of required documentation.
  • Maintain accurate records related to individual benefits and eligibility.
  • Communicate with funding agencies, government offices, individuals supported, families, and staff regarding benefit-related matters.
  • Maintain confidentiality of all protected financial and personal information

Individual Funds Administration

  • Process and maintain financial transactions related to individual funds in accordance with agency policies and procedures.
  • Maintain accurate financial records and supporting documentation.
  • Reconcile individual fund balances as assigned.
  • Monitor financial activity to ensure accountability and compliance.
  • Conduct petty cash audits and individual fund reviews.
  • Report discrepancies in accordance with agency policies.

Medicaid Billing Support

  • Maintain working knowledge of Medicaid billing regulations and requirements.
  • Serve as a backup to the Accounts Receivable Staff Accountant for Medicaid billing activities.
  • Assist with billing documentation, claim reviews, billing corrections, and related follow-up activities.

Financial & Administrative Support

  • Prepare, maintain, and reconcile financial spreadsheets, reports, and databases.
  • Develop and maintain tracking systems that support departmental operations and reporting.
  • Assist with external financial audits by preparing requested documentation.
  • Support internal audits, compliance reviews, and financial monitoring activities.
  • Maintain organized electronic and paper records in accordance with agency-record retention requirements.
  • Assist with departmental projects and other financial or administrative initiatives as assigned

Communication & Collaboration

  • Develop and maintain positive working relationships with individuals supported, families, staff, regulatory agencies, and community partners.
  • Communicate professionally, respectfully, and effectively in both written and verbal formats.
  • Provide excellent customer service while maintaining confidentiality.
  • Participate in department meetings, agency committees, and required professional development opportunities.
  • Contribute to continuous quality improvement initiatives.

General Responsibilities

  • Travel between agency locations as required.
  • Comply with all applicable federal, state, local, and agency regulations, policies, and procedures.
  • Adhere to the Agency's Corporate Compliance Program, Code of Ethical Conduct, confidentiality requirements, and all applicable financial controls.
  • Complete all required trainings and maintain knowledge of applicable regulations and best practices.
  • Support the Agency's mission, vision, and values through professional conduct and teamwork.
  • Perform other duties that are reasonably related to the responsibilities of the position as assigned by the Controller, Chief Financial Officer, or designee
