Accounts Payable Specialist

Job Summary:
We are seeking a detail-oriented and organized Accounts Payable Specialist to join our finance team. This role is responsible for managing the full-cycle accounts payable process, ensuring that all vendor invoices are processed accurately and paid on time while maintaining strong vendor relationships.


Key Responsibilities:

• Process, review, and verify vendor invoices for accuracy and proper approval
• Match invoices to purchase orders and receipts (2-way/3-way matching)
• Prepare and process payments via check, ACH, wire transfer, or credit card
• Maintain accurate and up-to-date accounts payable records and documentation
• Reconcile vendor statements and resolve discrepancies in a timely manner
• Monitor aging reports and ensure timely payment of all liabilities
• Communicate with vendors to address payment inquiries and issues
• Maintain vendor files, including W-9s and payment details
• Assist with month-end close activities, accruals, and reporting
• Support audits by providing requested documentation and reports
• Identify process improvements to increase efficiency within the AP function

Qualifications:

• Associate's or Bachelor's degree in Accounting, Finance, or related field preferred
• 1-3 years of Accounts Payable or general accounting experience
• Strong understanding of accounts payable processes and basic accounting principles
• Experience with ERP systems (e.g., SAP, NetSuite, Oracle, QuickBooks)
• Proficiency in Microsoft Excel and data entry
