Executive Assistant - Law Firm

Position Summary The Executive Assistant serves as a senior-level administrative and operational partner providing high-level support to the Executive Director and multiple Directors across Human Resources, Operations, Information Technology, Records, and Marketing. This role is critical to ensuring seamless coordination of leadership priorities, firm-wide initiatives, and administrative operations within a dynamic, client-focused law firm. The Executive Assistant functions as a central resource across departments, supporting multiple leaders simultaneously while maintaining alignment, organization, and execution of key initiatives. The position requires exceptional organizational skills, sound judgment, professionalism, and discretion, along with the ability to anticipate needs, manage competing priorities, and operate independently in a fast-paced environment. Key Responsibilities Executive & Administrative Support Provide high-level administrative and executive support to the Executive Director and multiple Directors (HR, Operations, IT, Records, and Marketing). Manage complex calendars, prioritize competing demands, and coordinate meetings across multiple stakeholders. Prepare agendas, voting materials, and reports for leadership meetings and initiatives. Track deadlines, action items, and deliverables across departments to ensure timely execution. Draft and edit correspondence, internal communications, and executive-level documents. Serve as a central communication liaison between leadership, staff, and stakeholders. Coordinate travel arrangements, logistics, and expense reporting for leadership as needed. Human Resources, IT, Operations, & Firm Administration Provide administrative support for HR functions across the employee lifecycle, including recruitment, onboarding, and offboarding. Coordinate candidate communications, interview scheduling, and onboarding logistics. Assist with administration of employee benefits programs, including medical plans, retirement plans, and leave tracking. Support annual open enrollment and employee benefits communications. Respond to routine employee inquiries regarding HR policies, procedures, and benefits, escalating as necessary. Maintain accurate and confidential employee records in compliance with firm policies and applicable laws. Support operations with firm-wide initiatives, projects, and daily operations. Occasionally coordinate or support logistics for meetings, trainings, firm events, and internal programs. Assist in the development and implementation of administrative procedures and best practices. Support firm communications, including announcements, policy updates, and administrative bulletins. Participate in special projects and process improvement initiatives. Serve as a liaison for administrative coordination with IT leadership. Support implementation and rollout of systems and tools, including training coordination. Confidentiality & Compliance Maintain strict confidentiality of all personnel, firm, and client-related information. Ensure all work aligns with legal, regulatory, and firm compliance standards. Exercise sound judgment and discretion in handling sensitive matters and communications. Qualifications Associate's degree in Business Administration, Human Resources, or related field, or equivalent experience. Minimum of 5 years of experience in executive administrative, operations, or HR support roles. Experience supporting multiple senior leaders in a fast-paced, professional services environment. Strong organizational, prioritization, and problem-solving skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite, HRIS systems, and document management platforms. High level of professionalism, discretion, and attention to detail.
