Job Title
Responsibilities
- Calculate, review, and calendar state, federal, appellate, Office of Administration Hearing, and other litigation deadlines in the firm's calendar/docketing system
- Review and process incoming and outgoing mail, emails, faxes, and e-filings to ensure all critical deadlines are accurately calendared
- Maintain case matter lists and personnel assignments to ensure accurate Outlook calendar integration
- Create, update, and distribute calendar reports, hearing schedules, and deadline notifications
- Respond promptly to attorney, timekeeper, and legal assistant inquiries regarding calendaring matters
- Monitor and maintain the accuracy of all calendaring deadlines and case-related events
- Research hearings, deadlines, and court information using state and federal court websites as needed
- Support ongoing docketing operations while ensuring compliance with applicable court rules and procedures
Qualifications
- 24 years of law firm experience required
- Strong knowledge of appellate, federal, state, and local court rules, procedures, and litigation terminology
- Experience using legal calendar/docketing software; CompuLaw experience preferred
- Ability to calculate and manage complex litigation deadlines accurately
- Excellent verbal and written communication skills with a strong customer service orientation
- Strong problem-solving abilities and sound judgment
- Exceptional organizational skills with the ability to prioritize competing deadlines in a fast-paced environment
- Impeccable attention to detail and commitment to accuracy
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
- Ability to work independently and collaboratively within a legal support team
Physical and Work Requirements
- Fully on-site role with regular in-office attendance
- Ability to lift and carry up to 25 lbs (files, mail bins, office supplies)
- Frequent walking, standing, bending, and movement throughout the office
- Ability to sit for extended periods while performing computer-based and clerical tasks
- Prolonged use of computers, typing, and screen exposure
- Operation of standard office equipment (copiers, scanners, printers, and multi-line phones)
- Standard 40-hour workweek with occasional overtime as required
