Shipping Coordinator

Role Description

• Maintain and support safe work environments with all vessels and terminals engaged.

• Creates shipping documents in compliance with current US international trade requirements. Performs all

necessary electronic filings to ensure compliance with current US international trade requirements.

• Daily contact with services and product suppliers (terminals) at both loading and discharge ports, also includes

transit details for the Suez and Panama Canals, additionally contact with agents at various ports for acquiring

bunkers.

• Maintains electronic and hardcopy files to support trade compliance traceability.

• Identify and analyze shipping market trends and economic data to inform market outlook.

• Produce reports and presentations with market commentary and analysis.

• Enter transportation data to meet regulatory and tracking requirements.

• Ensure regulatory requirements are met, and proper documentation, including transit and customs clearance

documents, exist for shipments.

• Ensure documentation is accurately processed, distributed, and released to carriers, forwarders, customers, and

agents in a timely manner.

• Complete all necessary data entry and confirmation of key milestones (departure, arrival, customs clearance, etc.)

as specified by customer standard operating procedures.

• Review accurate billing from service providers and contract compliance.

• Prepare timely shipment management information and reports as requested or specified per department KPIs.

• Monitor and advise on inbound and outbound movement of cargos.

• Collaborate with manager and other departments to meet customer and service providers needs and challenges.

• Develop and maintain successful relationships with customers, vessel owners and service providers.

• Participate as an effective team member with the ability to multi-task in a fast-paced environment.

• Maintain courteous, prompt, and efficient customer relations.

Qualifications

• Excellent knowledge of Microsoft applications including Word, Excel, Power Point, and Outlook.

• Superb interpersonal skills, including the ability to quickly build rapport with customers and other professionals.

• Knowledge of the industry and market trends.

• Proficiency with SQL, R, SAP, and Python are preferred.

• Excellent verbal and written communication skills.
