Monday through Friday - 9:00 am to 5:30 pm

Job Description

As the Intake Specialist, you will play a critical role in our client's experience by managing the initial stages of the legal process. You will provide a warm, professional, and empathetic introduction to our firm, ensuring that potential clients feel supported and understood from their very first interaction.

Key Responsibilities
• Respond to incoming calls, emails, and online inquiries from prospective clients in a timely and courteous manner.
• Gather essential information to assess the client's needs and determine the appropriate legal services required.
• Schedule consultations and meetings between clients and attorneys, effectively managing calendars and follow-ups.
• Maintain and update client records in our case management system with accuracy and confidentiality.
• Communicate clearly with clients regarding the intake process, required documents, and next steps.
• Collaborate with attorneys and staff to ensure seamless client onboarding and transfer of information.
• Assist with administrative tasks related to the intake process and Firm processes, as needed. Assist with Estate Planning document executions, including, copying, faxing, printing and organizing documents.

Qualifications
• High school diploma or equivalent required; associate's or bachelor's degree preferred.
• At least 1 year previous experience in a law firm, especially in estate planning or estate administration.
• Exceptional communication and interpersonal skills, with a strong client service orientation.
• Ability to handle sensitive information with discretion and professionalism.
• Strong organizational skills and keen attention to detail.
• Proficiency with computers and legal case management software
• Ability to multitask and manage priorities in a fast-paced environment. High attention to detailed required.
