Office Manager

Office Manager Our client, a well‑established financial services organization is seeking an experienced and highly organized Office Manager to oversee and support the day‑to‑day administrative operations of multiple affiliated companies under the same umbrella. This individual will serve as a key operational leader, ensuring efficiency, consistency, professionalism, and seamless coordination across all offices. The ideal candidate will have prior experience within the financial services industry or a similarly fast‑paced, highly regulated professional environment. This role requires exceptional organizational skills, strong communication abilities, and the ability to proactively manage competing priorities while maintaining a high level of professionalism and confidentiality. Key Responsibilities Oversee daily administrative operations amongst multiple companies Ensure consistency in office procedures, workflows, and operational standards Manage office supplies, vendor relationships, equipment maintenance, and facility needs Coordinate administrative support functions including scheduling, document management, and office communications Support leadership teams with operational and administrative initiatives Assist with budgeting, invoice processing, expense tracking, and vendor coordination Partner with HR and leadership on onboarding logistics, employee support, and office policies Coordinate meetings, events, travel arrangements, and internal communications Maintain organized records and ensure compliance with company procedures and industry standards Troubleshoot operational issues and implement process improvements to increase efficiency Act as a point of contact across offices to ensure strong communication and collaboration Support special projects and additional operational initiatives as needed Qualifications 5+ years of Office Management or Operations experience Prior experience within financial services, wealth management, banking, insurance, accounting, legal, or another professional services environment strongly preferred Proven ability to manage multiple priorities and office functions simultaneously Strong organizational, problem‑solving, and multitasking skills Excellent verbal and written communication skills High level of professionalism, discretion, and attention to detail Proficiency with Microsoft Office Suite and office management systems Experience handling confidential information in a professional environment Ability to work independently while collaborating effectively with leadership and staff Ability to work onsite at the Maple Shade, NJ location Preferred Qualifications Experience supporting executive leadership teams Background in operational process improvement or office workflow optimization Familiarity with compliance‑sensitive or highly regulated industries Compensation & Benefits Competitive base salary ranging from $100,000$120,000 Performance‑based bonus opportunity Comprehensive medical, dental, and vision benefits Paid time off and holidays Retirement savings plan Stable, collaborative, and professional work environment #J-18808-Ljbffr
